Description of Work
This Administrative Specialist II is a Non-Sworn/Administrative position located in the Logistics Section within the Information and Support Services Division of the North Carolina State Bureau of Investigation (SBI), located in Raleigh, NC (Wake County).The primary purpose of the Administrative Specialist II is to assist with procurement activities and ensure the continuity of operations of the SBI supply chain. Job responsibilities include the following:
- Purchase a wide variety of goods, equipment, supplies, materials, etc. for the SBI.
- Prepare requests for quotes, purchase orders, and requisitions.
- Receive and process requisition requests from members of the agency.
- Ensure all regulations, codes, and laws are followed, to include provisions of the North Carolina General Statutes and the NC E-procurement System.
- Maintain regular communication with internal and external customers, vendors, and contractors.
- Verify receipt of purchased items and follow up on any issues with orders, such as shortages, overages, damages, or items that do not meet specifications and resolve by obtaining credit memoranda or other restitution from vendors.
- Reconcile invoices to purchase orders, recompute extensions, verify discounts, and shipping costs as needed.
- Assist with inventory item descriptions for updates and corrections and maintain inventory counts using an electronic filing system.
- Assist with other functions within the SBI Logistics section including equipment inventories, surplus, asset tracking, vehicles, and mail, as assigned by the Special Agent in Charge.

The Minimum Education and Experience (E&E) is REQUIRED to qualify for this position. Management Preferences:
Knowledge of principles and practices of public procurement/purchasing process.
Experience in managing internal tracking processes.
Knowledge of the NC E-Procurement System.
Knowledge of NCFS (North Carolina Financial System).
General knowledge of the NC State procurement process, general statutes, and Administrative Code for both IT and Non-IT commodities and services of the State of North Carolina.
This is a full-time position (40 hours per week) with Benefits.

Degree/College Credit Verification

Veteran’s and National Guard Preference
