Position Overview

This position is for a front desk administrative service representative at a foreign semiconductor company. You will serve as a service and image ambassador within JLL's professional facility services team stationed on-site, acting as the primary point of contact for clients, employees, and public inquiries. You will provide friendly support and assistance to employees from diverse cultural backgrounds and nationalities. You must ensure that all services provided are smooth, enthusiastic, professional, and meet the highest standards required by both JLL and the client.
 

Key Responsibilities

• Manage the telephone switchboard, answer calls and messages
• Welcome, greet, and direct visitors, coordinating arrangements with relevant employees
• Maintain the reception area and office spaces, ensuring they remain clean and presentable at all times
• Distribute incoming and outgoing mail/documents within and outside the office, and coordinate with courier companies to handle outgoing mail and packages
• Monitor public areas and mail rooms to ensure they remain clean and orderly
• Maintain expenditure records for office supplies and service orders, and assist with invoice processing
• Coordinate business card printing and procurement of promotional materials, stationery, and related items
• Provide help desk consultation support for employee inquiries, maintain tracking records on the service platform, and escalate matters to the Facility Manager based on urgency
• Assist with general administrative tasks and other assigned duties • Coordinate and assist with local office activities
• Provide relevant data for monthly reports

Requirements:

• Communication Skills - Express clearly, listen actively, convey information accurately, and communicate effectively with people from different backgrounds, including fluency in both spoken and written Chinese and English.
• Customer Service Awareness - Maintain proper appearance, professional conduct, and friendly attitude; proactively identify customer needs; provide service experiences that exceed expectations; remain patient and courteous when handling inquiries.
• Task Management Ability - Handle multiple tasks sequentially including answering phones, receiving visitors, and processing documents while maintaining accuracy during busy periods.
• Interpersonal Coordination Skills - Collaborate with colleagues from different departments, coordinate visitor arrangements and meeting schedules, and build positive internal relationships.
• Confidentiality Awareness - Handle sensitive information appropriately and protect company and client privacy.
