Responsibilities:

  • Supervise and support a small team of direct reports, ensuring they adhere to organizational policies and operational standards.

  • Assist in providing administrative support to management across various operations of the organization.

  • Help manage and perform basic finance, budget, HR, and facilities responsibilities under supervision.

  • Support the coordination, research, recommendation, and implementation of business administrative initiatives.

  • Handle routine administrative tasks in functional areas such as finance, human resources, purchasing, and research and development.

  • Follow up on emails and schedule meetings for management as directed.

  • Assist in preparing budgeting summaries, project schedules, and conduct basic analysis of information for various functions.

  • Support the management of personnel and ensure adherence to organizational policies and operational standards.

  • Help maintain organized records and documentation to support program continuity and audit readiness.

  • Facilitate basic cross-department communication to support leadership decision-making.

  • Assist in tracking personnel compliance and administrative deliverables to support program execution.

  • Help identify simple process inefficiencies and support the implementation of workflow improvements.

  • Assist in overseeing client onboarding, service coordination, and account maintenance, ensuring accurate billing and customer satisfaction.

  • Support marketing initiatives and community outreach efforts to drive membership growth.

  • Assist in maintaining operational organization to ensure efficient facility management.

  • Assist in managing high-volume transactions with accuracy and accountability.

  • Help coordinate workflow and staffing to maintain efficiency and service quality.

  • Assist in maintaining compliance with safety, sanitation, and operational regulations.

Qualifications:

Required: 

  • Typically has a University Degree (BA/BS) or equivalent experience and 3+ years related work experience.

  • Basic understanding of finance, budget, HR, and facilities responsibilities.

  • Strong email follow-up and meeting scheduling skills.

  • Ability to work collaboratively in a team environment.

  • Basic knowledge of administrative processes and procedures.

  • Willingness to learn and adapt to new tasks and responsibilities.

  • Previous experience in a supervisory or team lead role, even if informal.

  • Basic proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

  • Active Secret level security clearance or higher.


Desired:

  • Previous internship or entry-level experience in an administrative support role.

  • Familiarity with customer service principles and practices.

  • Experience with simple process improvement initiatives.

  • Additional certifications or training in business administration or related fields (e.g., administrative professional certification).

  • Experience in managing a small team or leading projects.

  • Strong organizational skills with attention to detail.

  • Excellent communication skills, both verbal and written.

  • Ability to multitask and prioritize tasks effectively.

Pay Range:

There are a host of factors that can influence final salary including, but not limited to, geographic location, Federal Government contract labor categories and contract wage rates, relevant prior work experience, specific skills and competencies, education, and certifications.
