Summary:

The Ballpark Operations & Capital Planning Associate supports the day-to-day administrative and coordination functions of the Ballpark Operations and Capital Projects teams. This role helps ensure the smooth execution of operational initiatives and capital improvement projects by assisting with scheduling, meeting coordination, purchase order processing, project tracking, and documentation.

The Associate will work closely with internal departments, consultants, and vendors to help maintain organized project schedules, facilitate communication across teams, and support the planning and execution of ballpark operations and facility improvements.

Essential Duties & Responsibilities:

Operations & Project Coordination

  • Assist with coordination of daily operations activities related to the ballpark

  • Support the planning and scheduling of internal and external meetings related to operations and capital projects

  • Coordinate calendars and meeting logistics for project teams, consultants, and internal departments

  • Prepare meeting agendas and track follow-up items

Meeting Documentation & Communication

  • Attend project and operational meetings and prepare clear and organized meeting minutes

  • Distribute meeting notes and action items to relevant stakeholders

  • Maintain records of meeting summaries, project decisions, and key updates

Project Tracking & Scheduling

  • Assist with maintaining project schedules and tracking key milestones across capital projects

  • Update project tracking tools, spreadsheets, and dashboards used by the operations and capital planning teams

  • Help monitor progress and follow up on outstanding action items

Procurement & Administrative Support

  • Assist with Workday purchase order entry and tracking for operational and capital expenditures

  • Coordinate with Finance and Procurement to ensure accurate documentation and approvals

  • Track invoices, vendor documentation, and procurement status as needed

Organizational Support

  • Maintain organized project files, documentation, and shared drives

  • Support preparation of reports, presentations, and internal updates for leadership

  • Assist with other administrative and coordination tasks that support ballpark operations and capital planning initiatives

Qualifications:

  • Bachelor’s degree in Business Administration, Construction Management, Facility Management, Sports Management, or a related field preferred

  • Strong organizational and time management skills

  • Excellent written communication and meeting documentation skills

  • Ability to manage multiple priorities in a fast-paced environment

  • Proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint)

  • Experience with Workday or similar procurement systems preferred

  • Ability to collaborate with multiple internal departments and external partners

Hourly Rate: $22.00
