What this job involves:

This position is responsible to coordinate day-to-day client activities for assigned property/facility in alignment with Scope of work and client's expectation while embracing development and deployment of comprehensive programs to oversee and ensure consistent high-level execution of service delivery of all integrated facilities management (IFM) associated services. You will manage building maintenance including preventive, corrective and predictive, contract services, budget planning and control, third party vendor management, engagement with Sourcing for purchasing of material, equipment and supplies while maintaining accountability for on-going relationship with property owner (landlord) to ensure compliance with applicable service level agreements and Key performance indicators. This role contributes to JLL's business objectives by ensuring portfolio operates in consistency with Regional programs and company/client policies and/or standard operational procedures while working with client to resolve complex key risks, issues and concerns, advising on remediation, mitigation strategies and acting as point of contact for client audits, testing and assessments, and maintaining JLL's reputation for excellence in corporate real estate services through seamless facilities management coordination and operational leadership with direct reports including Facilities Coordinator and Engineering Coordinator.

What your day-to-day will look like:

  • Provide appropriate level of staffing in numbers and skill sets in alignment with Client to handle IFM Services, work volume and KPIs
  • Develop and implement plans for continuous process improvement, cost reduction and efficiency, innovation and benchmarking
  • Fully support Client's initiatives in effective and efficient fashion to drive operational excellence and meet Client's Real Estate and Facilities leadership principles
  • Challenge and improve all aspects of cost and performance of business while developing and executing annual Team Strategic Plan in alignment with Regional Strategic Plan
  • Coordinate, participate and engage with IFM meeting cadence including operational, strategic and best practice forums while providing visibility of opportunities in processes and programs for improvements
  • Provide financial and operational reporting on monthly, quarterly and annual basis at country/site and aggregated level as directed
  • Assure operation and maintenance plans implementation to provide operation, repair, and replacement of infrastructure and associated systems at site level including preventive and corrective maintenance meeting all regulatory and code requirements
  • Guarantee services requested by occupants and visitors related to AC, Lighting and electrical are provided, complying with response times defined on Response Priority Matrix
  • Ensure waste disposal, recycling service, and document destruction services at all managed sites are provided and confidential documents are disposed per policy
  • Network with regional workplace experience team to ensure soft services are delivered on time, on cost and on quality.

Required Qualifications:

  • Degree in Mechanical/Electrical/Industrial Engineering, Business Management or related fields
  • 5+ years of Facilities Management experience including interaction with senior-level management while managing hard and soft services in corporate offices
  • Working knowledge and/or technical experience in critical systems like Air-conditioning, Chiller system, Fire Protection system, Mechanical and Electrical system, BMS system among others
  • Intermediate to advance level of knowledge on Office suites programs, specifically Excel
  • Business acumen including hard and soft facilities Services management knowledge, budget planning and execution, negotiation, Environmental, Health and Security basic knowledge
  • Strong problem solving capabilities with self-starter, self-aware and self-motivated results driven individual qualities
  • Strong organizational and daily-planning abilities to work on multiple requests simultaneously and prioritize day-to-day activities effectively
  • Outstanding Customer Service attitude with ability to provide practical and continuous innovative service experience to employees
  • Excellent English and Spanish communication both written and verbal
  • Excellent written and verbal communication capabilities to effectively engage with key leadership stakeholders.

Preferred Qualifications:

  • Experience working with regional multinational, Hospitality or technology companies
  • Project management knowledge and experience
  • Portuguese language communication capabilities
  • Strong ability to work without close supervision and to delegate with effective influencer qualities who can make persuasive arguments
  • Passion for winning and biased toward actions with strong collaboration attitude to develop networking capacities
  • Able to manage High confidentiality levels during day-to-day activities with high business ethic and integrity when conducting business negotiations
  • Strong analytical capabilities with experience providing financial and operational reporting on monthly, quarterly and annual basis
  • Experience leading adoption of "one team approach" inspiring FM Team to deliver seamless service to client's occupants
  • Background coaching, training and developing FM Team to ensure performance bar is continuously raised
  • Understanding of leading and motivating FM Team to encourage passion in customer service while developing talent and adopting career management techniques
  • Experience acting as primary point of contact with client and integrated team member working alongside other members of team
  • Knowledge of staying tuned with Client's Rhythm of Business as foundation for enabling flow of information
  • Background implementing and managing ongoing plan for assets life cycle management and maintenance services
  • Experience developing priority-based, portfolio wide capital renewal program to document existing building deficiencies.
