Job Summary:

Real Chemistry is looking for an Executive Assistant to join our team, providing high-impact support to five of our senior business leaders and helping keep our fast-paced, high-performing organisation running smoothly.

 

What you’ll do:

  • Daily, weekly, monthly, and quarterly calendar maintenance, management, and communication to create strategic, well thought out business schedule for the ELT — coordinating calendars, activities, and guiding most efficient and effective use of time.

  • Daily calendar maintenance, management, and communication.

  • Schedule and meeting set up for internal teams, clients, and events as requested.

  • Setup of conference calls and videoconference events.

  • Document preparation and distribution.

  • Handle all travel arrangements including itineraries, accommodations, and transportation.

  • Manage and track phone calls and correspondence to and from executives.

  • Maintain Microsoft Outlook contacts.

  • Complete, submit, and track expense reports; reconcile credit card charges as necessary.

  • Conduct research and obtain requested information for the executives from the staff and external parties.

  • Keep organized files and archives online and offline.

  • Word document production and PowerPoint presentation support, including document/presentation preparation and meeting coordination, as well as new business pitch support.

  • May serve as point of contact for specific clients, including coordination of calls and tasks.

  • Work closely with the Talent Acquisition Team, including scheduling candidate interviews.

  • Cooperatively work with administrative team to ensure seamless and efficient administrative and operational support across the company.

  • Handle some personal travel arrangements including itineraries, accommodations, and transportation.

  • Schedule and manage personal appointments and miscellaneous errands as needed.

  • Support front office reception as needed.

  • Other duties as assigned.
