Facility Manager - Job Description
The Facility Manager is responsible for overseeing the operational management and maintenance of commercial buildings and facilities, ensuring optimal functionality, safety, and tenant satisfaction while managing costs effectively.
Key Responsibilities
Operations Management
The Facility Manager coordinates day-to-day building operations including HVAC, electrical, plumbing, and mechanical systems. They ensure all building systems operate efficiently and reliably, minimizing downtime and maximizing asset performance. This includes developing and implementing preventive maintenance programs, managing work order systems, and overseeing emergency response procedures.
Vendor and Contract Management
This role involves selecting, negotiating with, and managing relationships with service providers, contractors, and vendors. The Facility Manager ensures contract compliance, monitors service quality, manages budgets for outsourced services, and coordinates project work from minor repairs to major capital improvements.
Health, Safety, and Compliance
Ensuring building compliance with local, state, and federal regulations including building codes, fire safety, ADA requirements, and environmental standards is critical. The Facility Manager conducts regular safety inspections, maintains required documentation and certifications, implements emergency preparedness plans, and coordinates with regulatory authorities as needed.
Space Planning and Asset Management
The position includes managing space allocation, coordinating tenant moves and renovations, maintaining accurate facility documentation and floor plans, and tracking building assets and equipment inventories. This ensures efficient space utilization and proper lifecycle management of facility assets.
Financial Management
Developing and managing facility budgets, tracking operating expenses, identifying cost-saving opportunities, and providing financial reporting on facility performance are essential responsibilities. The Facility Manager balances operational needs with fiscal responsibility to optimize building performance within budget constraints.
Tenant and Stakeholder Relations
Building positive relationships with tenants, addressing concerns promptly, conducting regular facility inspections and walkthroughs, and communicating effectively about building operations, maintenance schedules, and improvements ensure high tenant satisfaction and retention.
Required Qualifications
Education: Bachelor's degree in Facility Management, Engineering, Business Administration, or related field preferred
Experience: Typically 4-6 years of facility management or building operations experience, with demonstrated progression of responsibility
Technical Skills: Strong understanding of building systems (HVAC, electrical, plumbing, life safety), proficiency with CMMS (Computerized Maintenance Management Systems) and building automation systems, working knowledge of relevant building codes and regulations
Soft Skills: Excellent communication and interpersonal abilities, strong problem-solving and decision-making capabilities, effective project management skills, budget management proficiency, ability to handle multiple priorities in fast-paced environments
Working Conditions
This position typically involves working in office and facility environments, responding to emergencies outside normal business hours as needed, conducting regular site inspections requiring physical mobility, and coordinating with multiple stakeholders across various departments and organizations.
