The Customer and Commercial Excellence division at Thermo Fisher Scientific is dedicated to enhancing our customer experience and driving commercial success across the organization. As part of this division, you'll play a crucial role in supporting initiatives that strengthen our customer relationships and optimize our commercial strategies.

Within the Corporate Accounts Business Unit, you'll be at the forefront of managing key relationships with our largest and most strategic customers. Your role will be instrumental in facilitating seamless communication and coordination between our executive leadership and these vital accounts.

DESCRIPTION:

We are seeking a highly experienced and proactive Executive Assistant to support the Vice President of Enterprise Science & Innovation Partnerships, along with two commercial Senior Directors. This is a high-visibility role requiring exceptional organizational judgment, executive presence, and the ability to anticipate needs in a fast-paced, global environment.


The ideal candidate is resourceful, detail-oriented, and thrives on enabling senior leaders to operate at their highest level of effectiveness.

KEY RESPONSIBILITIES:

Executive Support & Calendar Leadership

  • Provide strategic administrative support to a Vice President and two commercial Senior Directors, ensuring seamless daily operations.
  • Own complex calendar management, including prioritizing critical meetings, resolving conflicts, and aligning stakeholders across global time zones.
  • Maintain disciplined cadence management to ensure leadership engagement with key partners and initiatives.

Travel & Event Coordination

  • Coordinate complex domestic and international travel, including detailed itineraries, agendas, on-site logistics, and contingency planning.
  • Organize and support internal and external meetings, leadership events, and strategic offsites.
  • Ensure flawless execution of travel and event logistics in a global environment.

Operational & Administrative Excellence

  • Review and process expense reports accurately and in a timely manner.
  • Prepare high-quality presentations, reports, briefing materials, and correspondence with exceptional attention to detail.
  • Conduct research and compile data to support executive decision-making.

Communication & Stakeholder Engagement

  • Serve as a primary point of contact for internal and external stakeholders.
  • Partner cross-functionally to facilitate clear communication, information flow, and execution of priorities.
  • Exercise sound judgment and discretion when handling confidential and sensitive information.

Strategic & Project Support

  • Support special initiatives and high-impact projects with a proactive, solutions-oriented mindset.
  • Anticipate executive needs and proactively remove obstacles to maximize leadership effectiveness.
  • Identify opportunities to improve processes and enhance operational efficiency.
     


REQUIREMENTS:

  • High school diploma required. Minimum of 5 years of executive administrative experience, or Bachelor's Degree plus 2 years of executive assistant experience supporting senior leadership, preferably in a global corporate environment.
  • Preferred Fields of Study: Business, Secretarial Science, or related field
  • Expert proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Word, Teams)
  • Proven ability to manage multiple executives and complex priorities simultaneously.
  • Outstanding organizational and time management skills with ability to handle multiple competing priorities
  • Exceptional written and verbal communication skills with impeccable attention to detail
  • Demonstrated ability to maintain confidentiality and handle sensitive information with professionalism and discretion.
  • Strong interpersonal skills and ability to interact professionally with all levels of the organization
  • Experience coordinating complex international travel and managing visa requirements
  • Proven experience working independently to solve problems creatively
  • Ability to anticipate needs and take initiative in a dynamic environment
  • Flexibility to provide occasional support outside standard business hours
  • Proficiency with expense reporting systems (e.g. Concur)
  • Experience in calendar management across multiple time zones
  • Strong project management and event planning capabilities
  • Collaborative mindset with ability to work effectively in a matrix organization
  • Estimated Travel 15%
