The Workplace Lead is a dynamic, "working management" role responsible for the day-to-day operational excellence and leadership of our multi-site environment, specifically supporting our Pittsburgh offices. This person will act as a player-coach: managing a team of direct reports while remaining "hands-on" with administrative tasks, vendor coordination, and technical repairs and troubleshooting. The ideal candidate is a proactive leader with a strong blend of people management skills, financial administrative aptitude (POs/Invoicing), and technical facility abilities.
In this role, you will
- Lead and Develop People: Manage direct reports within the workplace team, providing mentorship, conducting performance reviews, and overseeing daily task prioritization.
- Manage Administrative Operations: Oversee the procurement lifecycle by creating purchase orders (POs), reconciling invoices, and tracking facilities spend against the budget.
- Master the Ticketing System: Act as the primary administrator for the workplace ticketing system (Jira); triage, categorize, and assign tasks to the team while personally resolving high-priority or complex requests.
- Perform Hands-on Maintenance: Execute repairs (e.g. furniture assembly and moving, R&M of systems and infrastructure, misc troubleshooting and repairs) and perform scheduled preventative maintenance (PM) on building systems.
- Oversee Vendor Relations: Coordinate scheduling and site access for all service vendors (Janitorial, HVAC, MEP), ensuring strict adherence to safety protocols and verifying that the defined scope of work is completed to high standards.
- Maintain Safety & Standards: Conduct regular facility walkthroughs and quality control inspections; maintain accurate records of maintenance work, safety checklists, and janitorial performance.
- Coordinate Office Logistics: Oversee general office functionality, including supply inventory management, internal building moves, and general coordination with other partner teams.
- Support Events & Dining: Provide support for events internally and externally including food service.
- Emergency Response: Be available to respond to facility-related emergencies at all hours (including after-hours and weekends) to coordinate vendor response and mitigate issues.
