Responsibilities:
Mailroom, Printing & Distribution Operations
- Manage incoming and outgoing mail, including sorting, logging, postage, packaging, and coordination of deliveries and couriers.
- Operate and support print and finishing equipment (printers, copiers, scanners, folders, binders, and collators).
- Print, assemble, and distribute documents such as reports, packets, notices, and internal communications.
- Track printing requests and delivery deadlines to ensure timely and accurate fulfillment.
- Perform quality control checks to ensure printed materials meet formatting, accuracy, and production standards.
- Maintain inventory of paper, toner, postage, and mailroom/print supplies; notify leadership when reorders are needed.
Clerical & Administrative Support
- Apply established procedures and workflows while adapting to non-routine requests related to print jobs or distribution needs.
- Collect, compile, and collate data for reports, mailings, or departmental tracking logs.
- Assist with preparing, reviewing, and auditing documents prior to printing or external distribution.
- Schedule, track, and maintain records related to mailings, print volumes, and departmental activity.
- Support basic research and information gathering for internal use.
- May assist in training or orienting new or lower-level staff on mailroom and print processes.
- Maintain an organized, efficient, and secure mailroom and print services environment.
- Perform other duties and responsibilities as assigned.
Knowledge of:
- Basic office practices, procedures, and clerical workflows.
- Email and basic computer applications (Word, spreadsheets, databases).
- Fundamental math skills for counting, batching, and tracking volumes.
- Basic inventory tracking and supply management practices.
Skill in:
- Organization and time management, with the ability to prioritize multiple print and mail requests.
- Operating standard office and print equipment to produce accurate, high-quality materials.
- Attention to detail to ensure accuracy, completeness, and quality control.
- Maintaining simple logs, spreadsheets, and tracking documents.
Ability to:
- Follow detailed instructions and independently complete recurring weekly tasks.
- Communicate clearly and professionally with internal teams and service providers.
- Deliver courteous, timely service when assisting with requests or inquiries.
- Build effective working relationships and function as a dependable team member.
- Handle pressure during high-volume or deadline-driven production cycles.
- Lift, sort, move, and transport mail bins, boxes, or printed materials as required.
Educational / Experience Requirements
- High school diploma or equivalent and 2–5 years of office, clerical, mailroom, print services, or customer service experience
OR - An equivalent combination of education, experience, and/or training.
