Current Need:
We are looking for a Sr. Administrative Assistant to perform a variety of administrative tasks and provide day-to-day support to multiple leaders within the Brand Sourcing and Manufacturer Relations organization, including the VP Manufacturer Engagement Services, VP Sourcing Operations and Business Insights, and Sr Director Market Intelligence. Serving as an extension of these leaders, this role ensures the most efficient use of their time by managing competing priorities, coordinating complex schedules and meetings, and enabling clear communication and follow-through. The Sr. Administrative Assistant maintains positive, effective, and collaborative working relationships across the organization while delivering accurate, timely, and professional administrative support with sound judgment, discretion, and minimal supervision.
Key Responsibilities:
Provide day-to-day administrative support to three VPs and a Sr Director, serving as an extension of the leaders to ensure efficient use of time while maintaining confidentiality, discretion, and sound judgment.
Manage calendars and coordinate complex meetings across multiple leaders and stakeholders, including scheduling, resolving conflicts, and handling materials/logistics and day-of support as needed.
Monitor and triage email and requests for assigned leaders; respond when appropriate and route items to the right owner by gathering and providing needed information and context.
Arrange business travel and accommodations and prepare/reconcile expense reports for leaders and team members in accordance with policy.
Prepare, format, and proofread documents and materials (e.g., agendas, presentations, reports, and meeting notes) using Microsoft Office tools.
Draft and coordinate department communications and correspondence, ensuring timely follow-through and appropriate review/approval.
Track deliverables, deadlines, and action items; proactively follow up and coordinate across partners to ensure commitments are met.
Support internal events/offsites and ad hoc projects; identify opportunities to improve administrative processes and share best practices.
Maintain contact and distribution lists and provide general on-site office support on office days as needed; partner effectively across the organization.
Minimum Requirement:
Typically requires 5+ years of related experience.
Critical Skills:
5+ years of administrative support experience, including direct support for multiple leaders (e.g., VP/Sr Director level) with complex calendar management, meeting coordination, travel arrangements, expense reporting, and handling sensitive/confidential information.
Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Teams).
Strong written and verbal communication skills; able to interact professionally with leaders, peers, and external partners.
Flexibility to adjust work hours as needed to support meetings, deadlines, and business priorities.
Preferred Skills:
Strong business acumen and prioritization skills; able to assess urgency, anticipate needs, and make sound judgment calls.
High attention to detail and quality; consistently delivers accurate work with strong follow-through.

Work Conditions:
Work location: Must be based in the Dallas/Fort Worth (DFW) area.
Work arrangement: Willing and able to work onsite in Irving, TX on required days and as business needs dictate.
Travel up to 15%
This role is a hybrid position. The selected candidate is expected to work on-site at our Las Colinas office a minimum of two (2) days per week, with the remaining days worked remotely. Specific in-office days may be designated based on team needs and business priorities.
