Position Summary

The Office Manager/Executive Administrator will serve as the central hub for cross‑departmental operations - delivering administrative services in a unified, streamlined workflows. This role needs strong leadership and organizational skills, a keen eye for detail, and the ability to communicate clearly with people at every level of the organization.

Role and Responsibilities

Here’s What You’ll Be Responsible For:

Core Responsibilities

Leadership and Cross‑Functional Liaison

  • Act as the primary point of contact for departmental service requests and projects.

  • Represent SDAA in leadership meetings, work‑groups, and strategic committees.

·         Communicate priorities, status updates, and risks to stakeholders

Team Management

  • Build, coach, and develop a high‑performing team

  • Set clear performance goals and expectations, conduct regular assessments of their work

  • Champion a culture of continuous improvement, collaboration, and accountability.

Operational Excellence - Process & Workflow Optimization

  • Create SOP and evaluate existing SOPs and redesign workflows for efficiency and consistency.

  • Deploy and manage shared tools (ticketing, shared calendars, trackers).

  • Automate routine tasks (meeting scheduling, expense approvals, resource allocation).

  • Track key metrics (time‑to‑completion, automation coverage, SLA adherence).

  • Drive Process Improvement

Financial Oversight

  • Monitor shared‑services spend against budgets, forecast, and variance.

  • Prepare quarterly financial reports for senior leadership.

Document Control & Compliance

  • Implement a secure, version‑controlled repository (e.g., EDM, Jira).

  • Conduct regular audits, data‑loss drills, and refine documentation protocols.

Training & Knowledge Management

  • Develop and deliver training programs (EDM, ERP, compliance).

  • Guarantee >95 % completion rates and high participant satisfaction.

  • Update the knowledge base regularly and drive usage metrics.

Skills and Qualifications

Required Qualifications

  • Very Strong Organizational Acumen – Exceptional multitasking, prioritization, and problem‑solving abilities.

  • Excellent Communication – Clear, concise written and verbal communication; ability to translate complex information into actionable items.

  • Interpersonal – Ability to build rapport with  leaders and employees at all levels and manage stakeholder expectations diplomatically.

  • Adaptability – Comfortable embracing new tools, processes, and shifting priorities.

  • Technical Proficiency – Advanced Excel (pivot tables, macros) PowerPoint

  • Confidentiality – Strong sense of discretion when handling sensitive information.

  • Continuous Improvement – Interest in Lean or Kaizen methodologies is a plus.

  • Proven track record in a fast‑paced, regulated manufacturing environment (semiconductor or equivalent).

  • Strong communication and interpersonal skills; able to influence across all levels without formal authority.

  • PMP Six Sigma or comparable certification is a plus.

  • Customer‑centric: Focuses on internal “customer experience”

  • Resilient: Thrives under pressing deadlines while maintaining accuracy and compliance.

Education & Experience

  • Bachelor’s degree in Business Administration, Operations Management

  • 7+ years in administrative or operational roles, with 4+ years in a supervisory capacity.

The current base salary range for this role is between $82,610 - $156,950. Individual base pay rates will depend on factors including duties, work location, education, skills, qualifications and experience. Total compensation for this position will include a competitive benefits package and may include participation in company incentive compensation programs, which are based on factors to include organizational and individual performance.
