The Executive Assistant (EA) provides high‑level, confidential administrative and business support to the Chief Executive and 4 other key Leadership members.This role is critical in enabling the Chief Executive, Singapore, to operate effectively through proactive management of priorities, seamless coordination of communications, and support of key business and employee engagement activities.
The EA is expected to exercise sound judgement, maintain the highest level of discretion, and work closely with senior stakeholders across the organisation.

About the role:
Executive & Administrative Support:
Manage the Chief Executive’s calendar, including scheduling meetings, coordinating travel arrangements, and organising business engagements
Act as a key gatekeeper for the Chief Executive, prioritising and managing emails, requests, and information flow
Prepare presentations, reports, correspondence, and briefing materials as required
Track deadlines, follow up on action items, and ensure timely execution of agreed outcomes
Perform other ad hoc duties as required to support senior leadership
Workday Delegate Responsibilities:
Act as an authorised delegate for the Chief Executive in Workday to:
Process and submit business expense claims on behalf of the Chief Executive
Raise job requisitions and initiate personnel change requests (e.g. transfers, promotions, compensation changes) for the Chief Executive’s direct report team
Review and approve leave requests and business expense claims for the Chief Executive’s direct report team
Review and approve supplier invoices in accordance with company policies and approval limits
Meetings & Employee Engagement Support:
Organise leadership, management, and committee meetings (where applicable), including coordination with speakers and presenters to finalise agendas
Work closely with HR, Marketing, and Workplace teams to support senior management and client visits to Singapore
Collaborate with HR, Marketing, and Workplace teams to prepare for quarterly Townhalls and the organisation of Long Service Awards presentations
Organise and coordinate “Ask Me Anything” sessions for employees across client sites on a fortnightly or monthly basis
Confidentiality & Office Coordination:
Handle sensitive and confidential matters with the highest level of discretion
Support office coordination activities related to the Chief Executive’s responsibilities
Proactively identify and implement improvements to administrative processes and overall efficiency
Qualifications & Experience
Diploma or Bachelor’s degree, or equivalent relevant experience
Minimum 5–8 years’ experience as an Executive Assistant or Senior Executive Assistant supporting senior management (GM, MD, CEO, or equivalent)
Experience in a corporate, regional, or fast‑paced environment is preferred
Strong organisational, time management, and prioritisation skills
Excellent written and verbal communication skills
High level of professionalism, discretion, and integrity
Ability to work independently with minimal supervision
Proficient in Microsoft Office (Outlook, Word, PowerPoint, Excel) and collaboration tools
Strong interpersonal skills with the ability to work effectively across cultures and seniority levels
