Job Description

Provides administrative support for the leadership and staff in the assigned Department.

  1. Organizes, coordinates, and schedules appointments and meetings with Luminis Health personnel, members of the medical staff, other healthcare professionals, outside consultants, sales representatives, and other business professionals.
  2. Provides administrative assistance and manages all office functions including retention of all documents, supply inventory, billing and invoices.
  3. Coordinates all arrangements for large scale meetings, which includes: room request, catering, audiovisual, billing, supplies, handouts, production of visual aids, confirm speaker(s) and travel arrangements and accommodations, advertising, registration, compilation of evaluation forms and reporting. Proficiently types a variety of correspondence, statistical reports, forms, graphs, and charts for written and/or verbal format using Microsoft Office applications.
  4. Compiles reports and dashboards from various data sources, and works with end users to ensure that the data is useful and understandable
  5. Communicates as appropriate with various departments to compile data for reports.
  6. Coordinates all correspondence for the department and all associated areas, including processing incoming mail and responding to routine correspondence according to established procedures; screens visitors and telephone calls; provides assistance with routine requests and inquiries, and refers as appropriate.
  7. Prepares, assembles, reviews, and assures distribution of information appropriately and as required for the preparation and follow-up of meetings or forums.
  8. Attends and records, transcribes and distributes minutes for meetings and conferences as required.
  9. Makes travel, meeting, and conference arrangements according to medical center policies and procedures.
  10. Prepares travel itineraries and coordinates communication to appropriate agencies and individuals.
  11. Provides coverage for other administrative secretaries as assigned. Ensures that cross trai
