Mailing Assistant – JLL
What this job involves:
As a Mail Assistant at JLL, you'll be the vital link in our clients' communication infrastructure, ensuring seamless mail and package delivery that keeps business operations flowing efficiently. This role is essential to maintaining workplace productivity—you'll manage incoming and outgoing correspondence, coordinate courier services, and provide exceptional customer service to employees and visitors. Your organizational skills and attention to detail will directly support our clients' daily operations while upholding JLL's commitment to operational excellence. What your day-to-day will look like:
• Sort, distribute, and deliver incoming mail, packages, and courier items to appropriate departments, offices, or individuals throughout the facility while maintaining accurate delivery logs and tracking systems
• Process outgoing mail and packages by weighing items, determining proper postage, preparing shipping labels, coordinating courier pickups, and ensuring timely dispatch according to established schedules
• Manage mailroom operations including operating mail processing equipment (postage meters, scales, sorting machines), maintaining organized storage areas, and ensuring mailroom cleanliness and supply inventory
• Provide courteous customer service by assisting employees with package tracking inquiries, explaining mailing procedures, handling special delivery requests, and resolving delivery issues promptly and professionally
• Coordinate with building security and reception teams to manage package notifications, oversee secure storage of valuable or sensitive items, and maintain compliance with facility access and safety protocols
• Support administrative tasks including updating mail distribution lists, processing bulk mailings, maintaining vendor relationships with courier services, and generating reports on mailroom activity and costs
• Operate material handling equipment safely when moving large packages or mail carts, following established routes and schedules to ensure efficient coverage of all building locations
Required Qualifications:
• High school diploma or equivalent with minimum one year of experience in mailroom operations, logistics, courier services, or related distribution roles
• Strong organizational skills with proven ability to prioritize multiple tasks, manage time effectively, and maintain accuracy in a fast-paced environment
• Physical capability to lift and carry packages up to 50 pounds, stand for extended periods, push mail carts, and navigate building facilities throughout the workday
• Basic computer proficiency including email, package tracking systems, and ability to learn mail management software and digital logging platforms
• Excellent customer service orientation with professional communication skills to interact courteously with employees, vendors, and visitors at all organizational levels
• Reliable attendance and punctuality with flexibility to adjust schedules during peak periods or special delivery requirements
• Attention to detail and commitment to confidentiality when handling sensitive correspondence and maintaining secure mailroom protocols
Preferred Qualifications:
• Experience operating mailroom equipment such as postage meters, franking machines, automated sorting systems, or material handling equipment
• Familiarity with major courier services (FedEx, UPS, DHL, USPS) including shipping procedures, tracking systems, and rate structures
• Background in corporate office environments or commercial real estate facilities where you supported multi-tenant operations
• Knowledge of basic inventory management principles for maintaining mailroom supplies and tracking usage patterns
• Valid driver's license if role includes inter-office mail delivery between multiple building locations
• Bilingual capabilities to serve diverse employee populations and assist non-English speaking visitors or vendors
• Experience with mail tracking software platforms or building management systems that can be quickly learned or refreshed
