1- What you will do:

 

Reception & Guest Experience (Core Mission)

  • Brand ambassadorship: Act as the indispensable first point of contact for the Paris office, representing the company's image to all internal and external visitors.
  • Visitor management: Oversee the physical greeting, identification, and orientation of both employees and external guests.
  • Access Control: Independently manage the logistics for site access, including the programming and distribution of badges
  • Logistics & deliveries: Handle the complete flow of physical goods, which includes receiving all deliveries and processing incoming/outgoing mail, packages, and courier requests.

 

Administrative Support & Internal Services

  • Digital communication: Manage daily digital workflows by monitoring and responding to internal inquiries and emails.
  • Meeting coordination: Support the team by assisting with the reservation and logistical optimization of meeting rooms.
  • Fleet administration: Assist with the administrative tracking of company vehicles, specifically scanning and entering data related to traffic or parking fines.
  • Provider supervision: Act as the on-site point of contact to coordinate and monitor the work of regular service providers, including cleaning crews, maintenance technicians, and gardeners.

 

Office Management & Office Life

  • Kitchen & refreshments: Supervise inventory levels and manage recurring orders for "Food & Beverage" supplies, such as coffee, tea, milk and juices
  • Stock management: Anticipate the office's needs for stationery and general consumables to ensure no shortages occur.
  • Event planning: Provide active logistical support for internal company events, including the setup and decoration for after-work socials, breakfasts, and management lunches, as well as coordinating with caterers.

 

2. Who you are: You Meet These Critical Qualifications

 

  • Language mastery: be fluent in both French and English (written and oral) to interact with international teams and vendors.
  • Digital literacy: Proficiency in Google Workspace (Drive), Microsoft Office, and Slack.
  • Organization: Proven ability to prioritize tasks and meet deadlines despite the constraints of a part-time schedule.
  • Discretion: A high level of professionalism when handling sensitive or confidential information.

 

3- You Can Impress With These Additions

 

Prior experience in a similar office management or reception role

Experience working in fast-paced environments, specifically within the Tech sector or digital catering/restoration.
