Job Description:

Position Summary

The Administrative Assistant is responsible for end-to-end expense and claims processing, ensuring accuracy, policy compliance, and timely reconciliation. The role supports expense, claims processing, and provides general administrative assistance to enable smooth daytoday operations of the team. This position reports directly to the Director, Marketing & Regional Business Development Asia‑Pacific.

Duties and Accountabilities

Expense & Claims Processing

  • Manage the full expense and claims process including submission, validation, correction, reconciliation, and timely processing in accordance with Bank policies.
  • Ensure expenses are accurately reviewed, appropriately coded, and supported by proper documentation prior to submission.
  • Maintain detailed tracking of expense submissions, outstanding items, and ageing, proactively following up to drive timely closure.
  • Identify recurring issues or gaps in expense submissions and actively guide stakeholders to improve compliance and accuracy.
  • Provide expense guidance linked to travel bookings, entertainment, and business events, ensuring adherence to the Bank’s travel and expense policies.

 

Administrative Support

  • Provide general administrative support to the department to ensure smooth daily operations.
  • Coordinate travel arrangements in line with Bank policy and cost controls.
  • Schedule and coordinate meetings, visits, and presentations with internal and external contacts.
  • Complete administrative tasks accurately, confidentially, and within required deadlines.

Requirements

  • Demonstrated experience managing expense processing end‑to‑end, including reconciliation, follow‑ups, and policy interpretation.
  • Proficiency in Microsoft Office; experience with corporate expense management systems is preferred.
  • Strong communication skills in English, with the confidence to manage queries and challenge non‑compliant submissions.
  • Highly organized, detail‑driven, and comfortable handling high volumes of transactions.
  • Ability to work in a fast‑paced environment and manage multiple priorities.
  • Experience supporting regional or international teams is an advantage.
