What this job involves:
The Workplace Officer supports daily facilities operations and workplace services to ensure a functional, safe, and well-maintained environment for all users. This role coordinates maintenance activities, responds to workplace requests, and assists with general administrative duties related to workplace management.
Key Responsibilities:
Facilities Monitoring and Maintenance
Perform regular facilities inspections throughout workplace areas
Ensure proper upkeep of workplace-related facilities and equipment
Coordinate equipment preventive maintenance schedules
Arrange maintenance/repair works for rectifying defects
Support improvement works as needed
Workplace Environment Management
Monitor and maintain working environments including offices, meeting rooms, and reception areas
Ensure standards of maintenance and cleaning services are met
Coordinate necessary works by service providers
Maintain workplace appearance and functionality
Support health and safety initiatives in the workplace
Meeting Room Support
Arrange simultaneous interpretation (S.I.) services for meetings when required
Coordinate with audiovisual team for special requests
Ensure meeting rooms are properly prepared and equipped
Support meeting setup and breakdown as needed
Supply Management
Order and replenish office and stationery items
Manage inventory of workplace supplies including printing papers and envelopes
Ensure adequate stock levels of frequently used items
Process supply requests from departments
Client Service and Communication
Respond to client inquiries, complaints, and urgent issues
Assist with investigations and follow-up actions
Prepare correspondence, letters, and notices relating to workplace services
Coordinate office health and safety matters
Support effective communication regarding workplace changes or updates
Administrative Support
Provide assistance for meetings and staff events when required
Support documentation of workplace activities and issues
Help maintain workplace records and reports
Assist with coordinating special workplace projects
Additional Duties
May work evenings and on public holidays when required
Handle other ad-hoc duties as assigned by the Authority
Support workplace emergencies or special situations
Working Conditions
Primarily on-site with regular movement throughout the facility
Mix of office-based administrative work and physical inspection activities
May require occasional evening or weekend work
Some physical aspects including checking equipment and facility conditions
Desired or preferred experience and technical skills
Diploma or above in Facilities Management and/or Property Management or equivalent with relevant working experience
Prior experience in facilities management, property management, customer services, or hospitality preferred
Good command of spoken and written English and Chinese (including Cantonese and Putonghua)
Excellent customer service and communication skills
Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and Chinese Word Processing
Ability to work independently under pressure
Detail-oriented approach to facility inspections
Proactive problem-solving abilities
