Job Description:
Provides full range of administrative support to a senior executive.

- Provides administrative support e.g. calendar prioritization & management, travel scheduling/arrangements, processing of expense claims and carrying out any ad hoc tasks if needed.
- Plans and schedules meetings, conference calls, high profile offsite or in-house conferences involving key executives of the BUs. Coordinates logistics for these meetings and conferences with minimum supervision.
- Gathers and compiles data required for presentation materials.
- Acts independently in referring matters to other executives for appropriate actions.
- Coordinates with other executive assistants on administrative and functional details.
- Reading and reviewing incoming emails, corresponding on behalf of the leader as necessary and within their scope of jobs; screening phone calls, enquiries and requests, handle as appropriate.
- Managing, organizing, and maintaining agenda, meetings, appointments; ensuring that the leader is well prepared for meetings.
- Tracking/monitoring priorities of the leader. Under direction from the leader, delegating work to others.
- Support other team members when applicable.
- Ad hoc projects follow up.
Specialized Knowledge/Skills
- Excellent verbal and written English communication skills, with the ability to communicate effectively at all levels of the organization.
- Independent and self-motivated; have a strong sense of responsibility and ownership.
- Superior organization and time management skills, with the ability to manage projects and changing priorities.
- Enjoy working under pressure, handling ambiguities, managing multiple responsibilities, and conflicting demands.
- Goal-oriented with high empathy for organizational dynamics, and to demonstrate a high regard for confidentiality.
- Energetic self-starter who is able to take initiative, work with minimum supervision, work on projects with frequent interruptions and achieve objectives through others.
- Resourceful at problem solving and continually improving job processes and procedures.
- Mature, good interpersonal skills.
- Professional level skills in Microsoft Office (Word, Excel, PowerPoint, OneNote, etc.) and Workday, digitally proficient, and able to quickly learn enterprise applications.
Education and Experience
- Bachelor degree in Business Administration or related discipline.
- Minimum 5 years' solid secretarial experience in serving senior executives preferred in banking or insurance industry.
- Able and willing to work flexible hours outside of typical core working hours, as required from time to time.
Please note that, currently, this is a Work From Home position with occasional needs to attend office.
