Training Administrator
Location: Warsaw, Poland (with support responsibility for Cologne, Germany)
About the Role
The Training Administrator is responsible for ensuring smooth, efficient, and well‑coordinated operational support for our training centers in Warsaw and Cologne. This position oversees site logistics, manages training schedules, supports learners and trainers, and maintains effective administrative processes across both locations. Fluency in English and German is required.
Key Responsibilities
- Coordinate training schedules, materials, resources, and trainer assignments for Warsaw and Cologne/Nordics (Remote).
- Oversee daily site operations, including facility readiness, supplies, and vendor interactions.
- Manage vendor relationships, contracts, invoices, and purchasing activities.
- Support internal and external users navigating the Learning Management System (LMS), including registration assistance, troubleshooting, and certificate retrieval.
- Administer the Axalta portal, including user registration, navigation support, and password queries.
- Collect, maintain, and report monthly metrics using systems such as PeopleFluent, SFDC, Cisco UCCX, and Tableau.
- Provide reporting support to functional leaders and contribute to performance tracking.
- Handle administrative duties including purchase orders, office management, document control via SharePoint, and event coordination.
- Support system‑related training for team members and end users.
- Collaborate cross‑functionally with customer service, procurement, sales, and training teams to ensure seamless operations.
Qualifications
- Fluent in German and English.
- Experience in administration, training coordination, site operations, or a similar role.
- Familiarity with LMS platforms, vendor management, procurement processes, and reporting tools.
- Strong organizational, communication, and multitasking skills.
- Proficiency in Microsoft Office, SAP, Salesforce (SFDC), and web‑based applications.
- Higher education in Business Administration, Operations Management, or related fields preferred.

The minimum salary for this position is 10.000 PLN gross per month, in accordance with the applicable collective bargaining agreement. Overpayment is possible depending on qualifications and experience.
