1. Transport Operations Management

  • Plan and manage daily employee transportation routes and schedules.

  • Coordinate pick-up and drop-off operations (shifts, cab routes, shuttle services).

  • Ensure punctuality of all transport services.

  • Optimize routes to reduce costs and improve efficiency.

2. Vendor & Fleet Management

  • Coordinate with transport vendors for cab, bus, or shuttle services.

  • Monitor driver performance, attendance, and behaviour.

  • Verify vehicle documents—insurance, fitness certificate, pollution certificate, permits.

  • Ensure proper vehicle maintenance and periodic inspections.

3. Safety & Compliance

  • Ensure all transport operations follow company policies and local transport regulations.

  • Conduct vehicle safety audits and surprise inspections.

  • Track GPS systems to ensure compliance with planned routes.

  • Handle emergency situations such as breakdowns, accidents, or delays.

4. Employee Support & Customer Service

  • Address employee requests, transport-related queries, or escalations.

  • Provide immediate support in cases of missed pickups, safety concerns, or route changes.

  • Support women’s safety protocols (especially for late-night shifts).

5. Attendance, Reporting & Documentation

  • Maintain daily transport logs—trips, fuel usage, driver rosters.

  • Prepare MIS reports: Monthly transport cost Fuel consumption Trip summaries Employee ridership data

  • Verify transport vendor bills before processing payments.

6. Cost Control & Budgeting

  • Monitor transport expenses and identify cost-saving opportunities.

  • Ensure accurate billing based on GPS data and route verification.

  • Assist in budgeting and forecasting transport expenses.

7. Technology / Software Management

  • Use transport management systems (TMS) for: Route planning Booking requests GPS monitoring Attendance tracking

  • Train employees on using transport apps or portals if required.

8. Coordination & Communication

  • Coordinate with HR, Admin, Security, and Shift Managers for transport planning.

  • Support during special events, client visits, or VIP transport arrangements.

  • Communicate route changes, delays, or alerts to employees.

9. Emergency & Incident Management

  • Respond to incidents like accidents, vehicle breakdowns, or safety complaints.

  • Prepare incident reports and coordinate with security teams.

  • Ensure availability of backup vehicles.

10. Continuous Improvement

  • Conduct feedback surveys to improve transport services.

  • Implement process improvements for efficiency and safety.

  • Work on sustainability initiatives (EV vehicles, carpooling, etc.).
