What this job involves

To serve as the primary deputy to the Facilities Manager by providing strategic oversight of building operations, property services, and administrative functions—while acting as the central liaison between HSSE team, engineering teams, operational supervisors, Owners’ Representatives, and tenants.

The role ensures all activities comply with the Deed of Mutual Covenant (DMC), Building Management Ordinance (BMO), and client (CX) standards, and plays a key governance role in DMC-related processes.

What your day-to-day will look like

1. Strategic Oversight of Building Operations

  • To ensure operational supervisors enforce protocols for service quality, safety and efficiency for operational function including cleaning, security, landscaping, front desk, and carpark services and clubhouse facilities, mailroom/mailing operations

  • To provides governance, quality assurance, and performance oversight the operational functions

  • To monitor contractor compliance with Client / JLL site policies, work methods, and statutory requirement.

2. Primary Liaison Across Stakeholders & Functions

  • To serve as the one of the focal point and coordinate between Engineering Teams, Operational Supervisors (cleaning, landscaping, clubhouse administration, mailroom), Owners’ Representatives and Tenant Representatives with clear, timely communication

  • To coordinate with other functional leaders within account to safeguard the connection to client / JLL requirement

3. DMC & BMO Governance & Meeting Coordination

  • To attend and actively participate in DMC meetings as one of JLL’s designated FM representative.

  • To ensure all DMC meeting procedures, documentation, and follow-up actions are conducted in strict accordance with DMC and BMO requirements.

4. Administrative, HR & Financial Coordination & Support

  • Manage end-to-end administrative workflows: documentation, reporting, filing, and internal communications.

  • Coordinate HR processes for in-house staff, including onboarding, training, performance tracking, and licensing renewals.

  • Manage procurement activities per JLL and CX protocols—from requisition through vendor management.

  • Support monthly budget tracking, invoice validation, and financial reporting for operational and property-related expenditures.

5. Reporting, Compliance & Continuous Improvement

  • Prepare management reports, KPI dashboards, and service performance analyses for the Facilities Director and client stakeholders.

  • Consolidate incident data and produce formal incident reports for internal review and client submission.

  • Participate in audits, business continuity planning, and special projects as assigned.

  • Drive continuous improvement in service delivery, compliance, and stakeholder satisfaction.

Desired or preferred experience and technical skills

Required Skills and Experience

  • Bachelor's degree required
  • 5-8 years of progressive experience in client relationship management, business development, or related field
  • Proven track record of managing large, complex client relationships and achieving revenue growth targets
  • Demonstrated success in strategic account planning and execution
  • Strong understanding of commercial real estate services and market dynamics
  • Exceptional communication, presentation, and negotiation skills
