Our Executive Assistants partner with the Management Board and senior leaders at JetBrains. We act as trusted operational partners: combining classic executive support with project coordination, stakeholder communication, and light process design.
We focus on clarity, time, and priority management, while also ensuring that senior managers remain unblocked so they can focus on the highest-impact work. The team operates with a high degree of autonomy, trust, and collaboration across functions.
In this role, you will
- Orchestrate board-related time, meetings, and travel – Coordinate the timing and logistics of board and other leadership meetings, support agenda design, content preparation, decision tracking, and follow-up hygiene, and arrange board-related travel and on-site logistics as needed, staying agile when plans shift while maintaining accuracy and deadlines.
- Protect board time and attention – Help manage and prioritize requests and topics that seek board visibility or discussion, ensuring board time is spent on the highest-impact issues and resetting expectations when timing, scope, or ownership needs to change.
- Build trusted partnerships – Build strong, professional relationships with executives and senior leaders, becoming a trusted point of contact.
- Maintain structured board and leadership communication – Set up and maintain clear, reliable systems and channels to track key partner and stakeholder interactions, board topics, decisions, and follow-ups, keeping the board and leadership informed, aligned, and prepared for upcoming meetings and decisions.
- Design and run governance and operating rhythms – Design, implement, and continuously refine governance and operating rhythms that improve focus, alignment, efficiency, and predictability across the executive office and broader leadership team.
- Support and coordinate ad hoc projects and special initiatives – Support planning and execution of board offsite events, leadership gatherings, internal events, and other priority initiatives together with relevant teams, aligning stakeholders and helping ensure smooth delivery.
- Operate with ownership and discretion – Exercise sound judgment and discretion when handling sensitive and confidential information.
You might thrive in this role if you
- Have 7+ years of experience in an executive support, operations, or similar coordination role, ideally supporting senior leaders in a dynamic tech or high-growth environment.
- Are fluent in English (spoken and written); other languages are a plus.
- Think analytically and structurally and are able to synthesize large amounts of information into concise insights, summaries, and action points.
- Are proactive and anticipatory, often two steps ahead, spotting needs before they surface.
- Are business-minded and curious about the “why” and not just the “what” when it comes to decision-making. It would be great if you are comfortable acting as a light thought partner when needed.
- Take ownership and exercise good judgment. You should be able to make independent decisions, maintain healthy boundaries, and know when something truly needs escalation, balancing a service-oriented mindset with assertiveness.
- Are very comfortable with modern tools (Google Workspace, Slack, Miro, and similar) and have a genuine interest in the products we build and in how AI can transform the way developers work.
