ElectronX
Job Description
Who are we?
ElectronX™ is the first U.S.-regulated, direct access electricity derivatives market, offering financial products to address volatile short-term price exposure to electricity. With offices in Chicago and New York City, ElectronX is building the missing financial infrastructure and risk management tools necessary to smooth the path for U.S. energy production, diversification and grid expansion in a time of rapidly increasing power demand.
ElectronX is a venture capital-backed startup supported by premier VC partners including Innovation Endeavors, Systemiq Capital, Equinor Ventures, Shell Ventures LLC, DCVC, Amplo, BoxGroup and Lightning Capital.
Who are we looking for?
As a fast-growing company in the highly competitive, quantitative capital markets industry, ElectronX values candidates who are resourceful, curious and adaptable to change. Our cultural focus on innovation requires collaborative and entrepreneurial teammates with the intellectual grit necessary for near- and long-term success.
As Office Administrator, you’ll support ElectronX’s executive team as needed, while keeping our Chicago and New York offices running smoothly. This role sits at the center of a fast-paced, high-stakes startup where your ability to anticipate needs, exercise discretion, and execute flawlessly will directly enable our leadership. You’ll keep both offices running smoothly so the team can stay focused on what they do best.
What will you be doing?
Office Administration
Vendor management: Manage office supplies and vendor relationships for both the New York and Chicago offices
Office experience: Ensure the office is a productive, welcoming place to work — coordinating team meals and keeping the space well-stocked so the team can stay focused on their work
Corporate events: Plan and coordinate periodic corporate events, including meetings and team-building activities
Event logistics: Manage event logistics, such as venue selection, catering, transportation, and technology needs
Workplace operations: Set new hires up for a great first day — building access, IT, and the welcoming details — and partner with IT and building management to keep both offices secure, accessible, and equipped so the team never has to worry about the basics
Supporting the Executive Team
Calendar assistance: Helping the executive team flag and resolve calendar conflicts so their time goes to high-priority work
Travel coordination: Assisting when needed with travel itineraries, accommodations, and logistics for the executive team
Expense management: Track and reconcile expenses for the executive team on an as-needed basis
Ad-hoc projects: Lead and execute special projects as assigned, demonstrating initiative and independent problem-solving
What we need from you
Essential Experience
Bachelor’s degree
Five years of administrative assistance experience in a fast-paced environment
Exceptional organizational and time-management skills with strong attention to detail
Strong written and verbal communication skills
Proficiency in Google Workspace
Ability to multitask and prioritize effectively
Occasional availability outside of normal business hours
The Right Mindset
Ownership mentality: You take full responsibility for your work from conception to production
Discretion: You bring a high level of professionalism and treat sensitive information with the discretion it requires
Anticipation: You proactively anticipate the needs of the executive team and the offices, identifying problems and solving them without waiting to be asked
Service-oriented: You take pride in making other people effective; your wins are measured by the time and energy you save the people you support
Detail-obsessed: You catch the small things others miss: an expired badge that needs renewing, or missing attendees on meeting invitations
Resourceful: When you don’t have an answer, you find one — asking the right person, learning a new tool, or piecing together information from multiple sources
