Sr. Associate IS Business Analyst-Governance

What you will do
Let’s do this. Let’s change the world! In this vital role you will support the Customer Care & Experience Governance team. The Customer Care & Experience team at Amgen focused on advancing capabilities which improve the experience of internal Amgen customer (workforce). Within Customer Care & Experience, the Digital Workplace Experience team focuses on driving adoption and maximizing business value of deployed End User Technologies. These include synchronous and asynchronous collaboration solutions such as WebEx, Microsoft Teams, and Miro, and devices such as PCs, mobile phones and tablets, and printers. The team consists of cross-disciplinary IS professionals who understand how to deliver services that span operations, engineering, governance, and enablement.

The Sr. Associate IS Business Analyst will support the CCE Workplace Governance team with software contract management (focusing on Microsoft, Smartsheet, and other tools), as well as operational budget tracking, utilization, and compliance. Success in this role requires collaboration with service owners, system owners, and cross-functional leaders across time zones.

Key responsibilities:

  • Financials and budgeting:
    • Support Software budget management, including annual budget planning, budget controls, quarterly latest estimates, and accruals.
    • Manage portfolio execution with appropriate planning across financials for software/license contract management using agile approaches for flexible and nimble execution.
    • Track total software spending against budget and identify risks, variances, and opportunities for optimization.
    • Partner with Finance, Procurement, and business stakeholders to ensure financial discipline and transparency.
  • Software License Management
    • Maintain license compliance based on purchased licenses vs allocated.
    • Perform monthly/quarterly/annual true ups of purchased licenses, with focus on Microsoft.
    • Ensure approval process for non-standard products is in place and is followed e.g Visio, Project, Adobe pro
    • Monitoring and optimizing software license usage and entitlements
    • Creating and publishing digital workplace performance reports for software license utilizations and compliance reports
  • Software Contract Management:
    • Manage software and license contracts with a strong focus on Microsoft contract management, including renewals, amendments, billing validation, and ongoing compliance with contractual terms.
    • Perform billing validations and support purchase order creation and management in Ariba.
    • Track contracts through the full lifecycle, including change requests, extensions, renewals, and closeout activities.
    • Troubleshoot contract-related issues, including incorrect invoicing, funding gaps, and billing discrepancies.
    • Monitor vendor performance against SLA and KPI commitments and initiate corrective actions as needed.
    • Partner with Procurement, Legal, Finance, and IT teams to ensure contracts are managed consistently and effectively.
  • Adapt, support and contribute to the growth and continuous improvement of the CCE Workplace Governance Team.

Preferred Qualifications / Skills:

  • Experience with software licensing for enterprise products such as Microsoft, Smartsheet, ServiceNow, Adobe, and related workplace tools.
  • Able to manage multiple tasks, prioritizing in a logical manner.
  • Strong analytical, auditing, and problem solving skills
  • Demonstrated proficiency in tools such as SAP, Ariba, Excel
  • Experience in financial planning, performance management, and budgeting
  • Managing processes & developing standards
  • Ability to independently manage tasks with minimum supervision, prioritize effectively, and work across time zones
  • Exceptional communication and collaboration skills with both technical and business stakeholders
  • Experience negotiating with vendors and managing enterprise software contracts

Minimum Qualifications

  • Master’s degree or Bachelor's degree with 5-8 years of Information Systems/Finance/Portfolio Management experience
