THE ROLE
The New Media department is responsible for all steps of the production process for the creation of video, animation, and original audio related to marketing materials, live-streaming, on-site multimedia activations and art installations.
The Media Admin is responsible for assisting in the operations of the media department. Working closely with the Sr Director of Media Operations, this position will be tasked with setting and managing meetings for all production related festival needs, tracking communications, leading Asana management, and advancing travel.
This is not a remote position and is an office-centric role based out of Calabasas, CA. This position reports to the Senior Director of Media Operations.
RESPONSIBILITIES
At the direction of the Director of Media and Sr. Director of Media Ops, the Admin will be responsible for arranging media production related meetings, ensuring the right parties are present and agenda are set
Work in Asana, tracking all related tasks and due dates, making sure they are communicated appropriately.
Handle all travel advancing
Maintain purchase logs for all company card purchases, as well as reconciling online
As needed, create and submit expense reports for Sr Dir of Media, Dir of Media and Dir of Post
Maintain internal reporting documents - crew logs, task completions
Working with Design and Video teams, lead outside vendor on boarding, PO creation and invoice intake
Assist on Special Projects as needed
QUALIFICATIONS
Bachelor’s degree in a relevant field equivalent experience preferred
3-5 years of experience in media production preferred but not required
Ability to evaluate project briefs creatively and financially as well as communicate effectively these evaluations to the client.
Familiar with project management tools such as Asana, preferred
Basic knowledge of creative processes and exposure to creative workflows
Understanding of digital content formats, assets and the role of video editors, sound designers and motion graphic artists
Experience in quality control and familiarity with proofreading, editing and reviewing deliverables to ensure accuracy and adherence to project specifications
Ability to manage multiple tasks and deadlines in a fast-paced environment
Excellent time management skills to support the timely completion of projects
Attention to detail and ensure all project components meet high standards of quality before release
Strong written and verbal communication skills with teams, stakeholders and external partners
Ability to clearly convey project requirements, timelines and expectations
Ability to address minor project issues (ie. Scheduling or resource gaps) and make adjustments to keep projects on track
Ability to partner well within a team and support colleagues in meeting their goals
Flexible and adaptable to different team dynamics and tasks
Handle sensitive information related to internal projects, assets and brand content
Ability to work independently and collaboratively in a fast-paced, deadline-driven environment
Proactive and solution-oriented mindset with a “nothing is impossible” attitude
Ability to escalate issues effectively and resolve them in a timely manner
Passion for electronic dance music is highly preferred
WORK ENVIRONMENT
Must be able to tolerate loud noise levels & busy environments
May work in drastic temperature climates
Must be willing to frequently work, and travel to work events, during evening and weekend hours, as required, to meet deadlines
Utilize a personal vehicle for business-related travel when required
Attend and support company events, including domestic and international travel, as needed

Hourly Pay Rate Range: $23.00 - $28.00 USD
