The Purpose:
This is a hybrid role that blends recruiting coordination with creating a great in-office experience for our San Mateo team. You’ll be the friendly face candidates meet, the behind-the-scenes organizer who keeps things running smoothly, and the person who makes our workplace feel engaging and welcoming.
You’ll coordinate interviews, support new hires, plan events, keep the office stocked and buzzing, and jump in wherever needed to make the employee and candidate experience exceptional. This is a contract to hire, full-time in-person position that requires being in the office 3-4 days per week.
What You'll Do:
Recruiting Coordination
- Schedule and coordinate interviews and candidate communication via Greenhouse ATS
- Support onboarding, candidate travel, background checks, and logistics
- Review entry-level applications and share recommendations with recruiters
- Collect and share candidate experience feedback for process improvements
Office Experience & Events
- Plan, stock, and order office snacks, drinks, and lunches (about 2 days/week)
- Organize in-office events, happy hours, and team celebrations
- Make sure common areas look great, conference rooms are stocked, and supplies are on hand
- Greet visitors and create a warm first impression
Facilities & Admin Support
- Track and follow up on facility requests
- Assist with scheduling, calendaring, and HR project support
- Prepare materials for HR initiatives (presentations, handouts, etc.)
- Pitch in with light setup/cleanup for events (including lifting up to 50 lbs)
Other Fun Things
- Assist with company social media posts as needed
- Serve as on-site safety coordinator
- Jump in on ad-hoc projects that keep our team running strong
What We're Looking For:
- Bachelor’s degree or equivalent experience preferred
- 2+ year in a customer-facing, hospitality, or office support role
- Great communication skills (written & verbal)
- Experience with Greenhouse ATS a plus, but not required
- Organized, detail-oriented, resourceful, and approachable
- Able to work in a fast-paced environment and adapt quickly
- Comfortable interacting with people at all levels
- Ability to lift and carry up to 50 lbs.
