ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Assess and prioritize operational tasks to ensure smooth functioning operations support for assigned Line of Business.
  • Provide comprehensive administrative and organizational support to LOB leadership, including proactive calendar management, meeting coordination, and preparation of materials.
  • Anticipate potential issues and proactively identify solutions to support leadership and team effectiveness, while assisting with the deal activity pipeline for new clients and the existing portfolio.
  • Supports the administration and oversight of complex compliance‑related group initiatives.
  • Resolves problems of varying complexity, often independently and before escalation is required.
  • Research, analyze data, consider alternate options, and make timely decisions to address issues and resolve deal‑related problems.
  • Provides project management and administrative support to Senior Management.
  • Serve as an on‑site operational point of contact, including coordinating office needs, ordering supplies, and ensuring the workspace supports effective team operations.
  • Handle administrative duties for the LOB leader.
  • Assist in the publication of various client and internal presentation materials.
  • Prepares ad hoc analysis/reports following the direction of senior management.
  • Perform special projects as assigned.
  • May provide vendor management support (including setting up new vendors and processing/following up on invoices to ensure payment).
  • Support employee engagement and team‑building initiatives (e.g., events, meetings, communications) to foster a positive and well‑supported team environment.
  • Serves as a customer service contact for clients and assists in transaction execution as needed.
  • Continuously looks for ways to improve processes, workflows, and administrative support models to enable smooth, efficient operations across the team.
  • Work requires a self‑starter with attention to detail, flexibility in managing competing priorities, a service‑oriented mindset, and an in‑depth understanding of company policies, procedures, and operations related to commercial lending or investment banking, commercial loan systems, and loan administration.

MINIMUM KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

  • 2+ years business support experience; commercial banking experience preferred.
  • Experience in an administrative, executive assistant, office manager, or similar role supporting senior leaders preferred.
  • Intermediate knowledge of Microsoft Word and Excel required. Proficient with technology and ability to learn new applications, including commercial loan administration systems.
  • Bachelor's degree preferred, ideally with concentration in Business, Finance, or Accounting.
  • Strong interpersonal and relationship‑building skills.
  • Highly proactive, organized, and detail‑oriented with the ability to anticipate needs and act with minimal direction.
  • Analytical skills, critical thinking, and verbal and written communication skills.

The base salary for this position is reflective of the range of salary levels for all roles within this pay grade across the U.S. Individual salaries within this range will vary based on factors such as role, relevant skillset, relevant experience, education and geographic location. In addition to the base salary, this role is eligible to participate in an incentive compensation plan, with any such payment based upon company, line of business and/or individual performance.
