Job Description
MAIN RESPONSIBILITIES:
Site Scope
Responsible for the site specific scope that properly reflects the requirements for the site taking into account the lease, any sub leases (internal or external) and any other factors. Work with the Technical Delivery lead who will define the compliance requirements for the country ensuring that compliance is met and the scope is properly uploaded into Famis in a format that is consistent across EMEA
Management of PPM
The proactive management of all PPM tickets in region. Managing them in line with agreed processes and ensuring KPIs and other targets are achieved, and /or exceeded. Specifically managing all activity in Famis (includes the management and monitoring of landlord and sub tenant maintenance in Famis)
Management of Reactive Tickets
The proactive management of all reactive tickets in region. Managing them in line with agreed processes and ensuring KPIs and other targets are achieved, and /or exceeded. Specifically managing all activity in Famis
Supplier Management
Manage the day to day performance of the supplier(s) for your region. Monitoring their performance as per agreed processes (meetings, reporting) and KPI metrics
Incident Management
Point of point for incident management in your region. Following agreed process for response and escalation. Then managing any actions to completion
Project Support
Support the Business Operations Lead with any requests or actions assigned to you relating to the delivery of projects in your region. Ensure Operational Excellence in day to day delivery to allow the successful completion of project activity (ie handbacks) that will be managed and reported on by the Business Operations Lead
Inspections
Carry out quarterly inspections of all sites in region as per the agreed process and format. Capturing the building condition, ensuring the functionality of all systems and reporting/escalating in an appropriate manner, as per agreed process
Site Level Reporting
Provide site level reporting as required to the C&W team and client, including but not limited to providing a clear and comprehensive update on all key issues within your region on a weekly basis
Escalations
Manage all escalations within your region in line with agreed processes. Ensuring that all issues and risks are called out to the client in an appropriate manner with instruction sought where applicable and action taken
Budget Management
Work with suppliers and the Compliance & QA Lead to set site specific budgets for each site annually, manage spend against that budget, working closely with finance to report on spend, variance and manage the budget closely. Complying with finance KPIs
POC For landlords and sub tenants
Act as day to day POC for all landlords and sub tenants. Managing queries and requests with support as required from the Property Manager
KNOWLEDGE/ ABILITIES
FM delivery knowledge, the ability to manage suppliers and client stakeholders, reporting on performance and issues
EXPERIENCE
FM delivery experience within the region.
