Linus Health is a Boston-based digital health company focused on transforming brain health for people across the world. About The Role:

We are looking for a reliable, experienced, and task-oriented EA with a proven track record. The ideal candidate is highly self-motivated, professional, organized and capable of managing their workload and prioritizing tasks in a faced paced environment. The role is a "gatekeeper" to our CEO and a reflection of him both internally and externally. Additionally, you will be the first point of contact for everything that goes through the CEOs office. While we are 100% remote, we are looking for someone to be Boston based in order to be able to meet with our CEO in person as needed. While Boston based is a strong preference, we do need this person to be based in EST if you are not currently in the Boston / Greater Boston area.

What You’ll Do:

  • Completes a broad variety of professional and personal operational tasks for the CEO including managing an extremely active calendar of appointments; composing and preparing correspondence that are oftentimes confidential (eventually, after trust is built, responds on behalf of the executive); answers calls, arranges travel plans, itineraries, and agendas.
  • Plans, coordinates and ensures the CEO's schedule is followed and respected. Provides "gatekeeper" and "gateway” role, creating win-win situations for direct access to the CEO's time.
  • Triage the barrage of information, challenges and background noise that the CEO is bombarded with (this will take time).
    • Determine what the CEO needs to know and what he does not.
    • Oftentimes requests that come in may need action, just not from the CEO.
    • It’s up to the executive assistant to determine how to best respond and redirect these requests so they are resolved without hitting his desk.
    • Anticipate which requests will likely bubble up again or who may look for other routes to get to the CEO, so you can prepare him just in case.
  • Anticipates the needs of the CEO and strives to provide services or products before being requested.
  • Provides a bridge for smooth communication between the CEO's office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
  • Works closely and effectively with the CEO to keep he/she well informed of upcoming commitments and responsibilities (both personal and professional), following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the CEO updated.
  • Interacts professionally with executive assistants of other high level executives in other organizations.
  • Prep for BOD meetings - once agenda is agreed upon, liaise with legal to prepare consent(s), solicit appropriate content from internal stakeholders for final review by CEO/COO/Legal..
  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting personal correspondence, emails, and other tasks that facilitate the CEO's ability to effectively lead the company.
  • Act as liaison for CEO between C-Suite and Senior Management.
  • Maintains discretion and confidentiality in relationships.

About You:

  • 10+ years in a similar EA type role supporting "C level executives
  • Healthcare, Biotech, Pharma and/or digital health experience
  • Ability to inspire trust and loyalty given the amount of exposure to confidential information
  • Confidence in ability to act as a Gatekeeper on behalf of the CEO - proven ability to deter others who want direct access to CEO but perhaps the topic should be resolved by someone else
  • Ability to pivot and adapt to changing circumstances
  • Problem solving ability and organizational skills
  • Excellent platform presentation skills, interpersonal skills, as well as excellent written and verbal communication skills. Politically savvy and an excellent communicator
  • Results driven
