Job Description:

The Front Office Representative serves as the first point of contact for patients and visitors, creating a welcoming and professional environment both in person and over the phone. This role is essential in ensuring a seamless patient experience by efficiently coordinating front desk operations, maintaining accurate information, and supporting clinical workflows. The ideal candidate delivers exceptional customer service, demonstrates strong organizational skills, and thrives in a fast-paced healthcare setting.

Key Responsibilities:

  • Greet and check in patients professionally and courteously
  • Answer calls, take accurate messages, and direct inquiries appropriately
  • Schedule, confirm, and adjust appointments
  • Maintain accurate patient demographic and insurance information
  • Collect co-pays, balances, and process payments
  • Coordinate referrals, authorizations, and follow-ups
  • Manage medical records per policy
  • Open/close office and maintain organized front desk operations

Qualifications:

  • High school diploma or equivalent
  • Medical office experience and terminology preferred
  • Strong communication, multitasking, and organizational skills
  • Basic computer skills and business math
  • Physician office experience preferred

Physical Requirements:

  • Sitting, standing, walking, and light lifting (up to 10 lbs)
  • Frequent computer and phone use
