Job Description

ICF NEXT is looking for a Contracts Administrator to join its team and play a key role in ensuring the accurate, timely, and compliant management of contractual documentation. This role sits at the intersection of contract administration, business support, and stakeholder coordination, requiring strong organisational skills, attention to detail, and a proactive mindset. Please note that this concerns a temporary contract.

Key Responsibilities

  • Prepare, review, and coordinate the authorisation and signature process for official documents, including contracts, amendments, and formal correspondence, in line with internal policies and procedures.
  • Ensure the accuracy and completeness of all administrative information prior to signature.
  • Coordinate the delivery and receipt of contractual documents with clients and delivery service providers, both electronically and by post.
  • Classify, archive, and maintain original documents in accordance with company standards, ensuring both electronic and physical records are up to date and easily retrievable.
  • Maintain and organise electronic contract files across relevant systems, including the Contracts Library on SharePoint.
  • Populate, update, and monitor the Contracts Tracker; produce reports as required and track price indexing and other amendment-related requests.
  • Provide administrative support to the Business Development team as needed.
  • Liaise with internal stakeholders and external clients to clarify contractual or administrative queries.

  • Proven ability to manage multiple tasks simultaneously and to identify, escalate, and resolve issues effectively.
  • Strong organisational skills with the ability to prioritise and meet deadlines.
  • Comfortable handling sensitive and confidential information with discretion and professionalism.
  • Excellent working knowledge of Microsoft Office tools, particularly Excel, Word, and PowerPoint.

  • Proactive and solution-oriented mindset, with a willingness to learn and adopt new ways of working.
  • Strong team player with good listening and collaboration skills.
  • Clear and effective oral and written communication skills in English.
