This role partners closely with site leadership and employees, exercises sound judgment, and ensures compliance, accuracy, and timely delivery of administrative services for a fully onsite workforce of approximately 40 employees.Job Description

Pay range: Up To $26.00/hr

DUTIES/RESPONSIBLITIES:
Key Responsibilities
Administrative & Site Support
- Maintain asset inventory, office equipment, and administrative supplies
- Support site operations through accurate documentation, recordkeeping, and reporting
- Perform non-routine, moderately complex administrative and financial transactions using established procedures
- Exercise independent judgment while prioritizing tasks in a fast-paced, deadline-driven environment
- Perform additional duties as assigned by the Site Manager
Payroll Administration
- Process weekly payroll for approximately 40 employees, including daily labor inputs charged against work orders
- Review, correct, and approve employee timecards
- Balance payroll hours and validate data accuracy between systems and spreadsheets
- Research payroll discrepancies, address employee inquiries, and resolve issues promptly
- Administer payroll changes, interim checks, and direct deposit updates
- Maintain payroll records, files, and audit documentation
Accounts Payable / Accounts Receivable / Billing
- Process, track, and reconcile accounts payable and accounts receivable transactions
- Enter and verify invoices; communicate with vendors and internal stakeholders to resolve billing discrepancies
- Perform billing for internal and external customers, including corrections and adjustments
- Support month-end close activities and prepare financial and administrative reports as required
HR & Personnel Support (Administrative)
- Coordinate new employee onboarding, including orientation scheduling and administrative setup
- Maintain employee records and files in accordance with compliance requirements
- Support HR-related transactions such as employee changes, offboarding, and general inquiries
- Assist with benefits and system-related employee questions, escalating when appropriate
Compliance & Accuracy
- Ensure adherence to company policies, site procedures, and administrative controls
- Protect confidential employee and company information at all times
- Maintain a strong focus on data accuracy, compliance, and audit readiness
Required Qualifications
Proven experience in:
- Payroll processing
- Accounts payable and accounts receivable
- Billing and financial transaction support
- Intermediate proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint) required on Day 1
- Strong organizational skills with high attention to detail and accuracy
- Ability to work independently, make judgment calls, and manage competing priorities
- Effective communication skills and ability to maintain positive working relationships
- Successful completion of background check and drug screening
Preferred Qualifications
- Experience with the following systems:
- UKG (Kronos)
- SAP
- Workday
- Concur
- Works
- Prior experience supporting HR administrative tasks in a site or operations-based environment

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.
The company will not pay less than minimum wage for this role.
The compensation for the position is: $22.10 - $26.00
