JOB TITLE: Supply Chain & Inventory Coordinator - HSF DATE: 02/23/2026
SUPERVISOR TITLE: Supply Chain Supervisor STATUS: Non-exempt
DEPARTMENT: Holiday Support Facility - 2094 SALARY: $24 - $30 hr
JOB SUMMARY: Responsible for executing procurement, distribution coordination, order integrity, inventory control, and financial reconciliation functions to support uninterrupted production and store fulfillment at the Holiday Support Facility.
This role requires independent judgment, proactive problem-solving, and end-to-end ownership of assigned purchasing and inventory activities to ensure operational continuity, financial accuracy, compliance, efficiency, and other duties as assigned by Supply Chain Supervisor.
RESPONSIBILITIES/ACCOUNTABILITIES:
- Supply chain activities
- Generate, issue, and manage purchase orders within the ERP system.
- Monitor inventory levels and proactively adjust orders to prevent shortages or excess inventory.
- Verify receipt of goods within the ERP system to ensure accurate quantities and pricing.
- Reconcile purchase orders, receipts, and vendor invoices to ensure financial and inventory accuracy.
- Investigate and resolve discrepancies related to pricing, quantities, shipment accuracy, or invoice variances.
- Maintain complete and accurate purchasing documentation in accordance with procurement policies and internal controls.
- Communicate supply risks or constraints before they impact operations.
- Order Integrity & Warehouse Coordination
- Review store order files to identify and correct errors prior to pick ticket generation.
- Generate, print, and distribute pick tickets to support warehouse fulfillment.
- Coordinate with warehouse and production teams to resolve order discrepancies and receiving issues.
- Provide timely and professional support to stores regarding order questions, credit requests, delivery discrepancies, and inventory-related concerns.
- Investigate, communicate, and resolve store-reported issues related to product availability, quantities, credits, or distribution to ensure accurate and complete resolution.
- Ensure order documentation supports accurate and efficient warehouse operations.
- External Distribution & Storage Coordination
- Coordinate external distribution purchase orders to ensure alignment with production schedules and inventory availability.
- Coordinate freight scheduling and carrier pickups to support timely distribution to distribution centers.
- Collaborate with production leadership to confirm order quantities and timing are accurately reflected in the production plan.
- Coordinate off-site storage transfers and maintain accurate inventory visibility for external storage locations.
- Manage invoicing processes related to external distribution orders.
- Investigate and resolve shipment and invoice discrepancies in partnership with vendors, warehouse, production, and finance teams.
- Inventory Control & Financial Accuracy
- Perform weekly cycle counts and support monthly inventory reconciliation.
- Investigate, document, and resolve inventory variances.
- Process and post store credits accurately and on a timely basis.
- Ensure all inventory adjustments and credits are properly documented and supported according to established internal controls.
- Maintain system inventory accuracy and cost integrity.
KNOWLEDGE, SKILLS AND OTHER QUALIFICATIONS REQUIRED:
- Must have excellent verbal and written communication skills.
- High attention to detail and data accuracy.
- Strong analytical and problem-solving skills.
- Proficiency in Microsoft Excel, Word and Outlook.
- Working knowledge of ERP systems desired.
- Ability to work independently and collaboratively in a fast-paced environment.
EDUCATION/TRAINING REQUIRED:
- High school diploma required, Associate or Bachelor’s Degree in business, Supply Chain, Accounting, or related field preferred.
- 1–3 years of experience in purchasing, inventory control, food manufacturing, or distribution environment preferred.
- Equivalent work experience may substitute for education.
