Job Description

POS-32447

We are seeking a Senior Executive Assistant to join HubSpot to support our Chief Legal Officer. This Senior EA should be passionate about providing exceptional support, acting as a trusted partner to the CLO, and intentionally representing their office with professionalism, discretion, and sound judgment.

In this role, you’ll get to:

  • Manage a complex, high-volume calendar and global travel, handling all incoming and outgoing meeting requests with precision and care.
  • Coordinate meetings with senior internal stakeholders, external counsel, board members, and regulators.
  • Handle highly sensitive and confidential information with the utmost discretion, supporting legal priorities, board-related activities, and strategic initiatives.
  • Provide proactive, anticipatory support—seeing around corners, identifying risks or conflicts, and ensuring the CLO is prepared and operating effectively.
  • Support preparation for board meetings, executive sessions, and leadership forums, including agenda management, logistics, and coordination of materials.
  • Assist with legal team operations such as document coordination, tracking key deliverables, and supporting cross-functional initiatives.
  • Process expense reports, manage budgets, coordinate vendor payments (e.g., external counsel), and maintain strong relationships with internal and external partners.
  • Partner closely with a team of Executive Assistants, mentoring more junior team members and contributing to broader EA team initiatives and backup support.

We are looking for people with:

  • Proven track record of success providing administrative support in a high-performing, fast-paced, global environment.
  • Experience supporting senior executives, ideally within legal, compliance, or other highly confidential environments.
  • Exceptional discretion, judgment, and professionalism in handling sensitive information and high-stakes interactions.
  • Strong stakeholder management skills, with the ability to engage confidently with executives, board members, and external partners.
  • Remarkable drive, bias for action, and commitment to delivering exceptional support.
  • Ability to effectively prioritize and manage competing demands across multiple stakeholders and communication channels.
  • Outstanding organizational skills and attention to detail.
  • Exceptional written and verbal communication skills; able to interact seamlessly with employees at all levels, including senior leadership and external contacts.
  • Comfort operating in ambiguity and adapting quickly to shifting priorities.
  • A proactive mindset with the ability to work independently and anticipate needs with minimal guidance.
  • Flexibility to handle urgent or time-sensitive matters outside of core business hours when needed.
  • Availability to travel, approximately 20% of the time, to support executive and board-related onsite needs.
  • A passion for HubSpot’s culture and commitment to creating exceptional employee experiences.
  • Must be based in the United States on Pacific, Mountain, or Central Time to ensure alignment with the executive’s working hours (candidates located in Eastern time zone will not be considered).
