Job Description

This role will provide general support to the Talent Acquisition (TA) team in the areas of payroll, event planning, communication, invoice, contract and budget tracking, and general administrative tasks. Coordinate first day new hire process for corporate team members. Oversee the employment verification process. Assist team members and applicants with all talent acquisition inquiries.

ESSENTIAL JOB FUNCTIONS

Provide support to internal team members and customers that call into the Talent Acquisition hunt group.

Partner with Sales and Loss Prevention team on the onboarding and new hire process for TSM, TSMITs, PBE Sales Reps, and LP Auditors including: career opportunity request, new hire paperwork, criminal background checks, offer letters, and HR documents. 

Coordinate the new team member orientation for the corporate office including: invoices, email communication, lunch, and invites.

Maintain, organize, and implement the first day new hire process for corporate team members including: coordination and setup, completion of all new hire documents and new team member packet, ordering supplies, administering badge photos, and submitting documents and personnel files to the appropriate teams. 

Assist with the staff augmentation process handling requests for temporary staffing, candidate submittals, processing the worker in HR system and reviewing and approving invoices for the corporate office.

Partner with the Talent Acquisition Manager and 3rd party vendor on the entire employment verification process and reporting.

Manage and track all incoming contracts for stores distribution center and corporate career fairs, recruiting events, recruiting materials and 3rd party vendors

Maintain Talent Acquisition Corporate and IT contracts, invoices, and budget tracking.

Process bi-weekly time sheets ensuring accuracy and appropriate management approval. Enter time into the timekeeping system and reconcile discrepancies with entitlements for Talent Acquisition team members.

Track and maintain Talent Acquisition team members time-off and vacation request. Ensure proper coverage during holiday seasons (Fourth of July, Labor Day, Memorial Day, Thanksgiving, Christmas, and New Year’s).

Coordinate lunch schedules to provide accurate phone coverage for the TA team.

Coordinate and schedule monthly TA team meetings, assist in the agenda creation, and ensure proper phone coverage.

Provide general team administrative support to include: telephone support, records management, scanning/filing, supply maintenance, document preparation and maintenance of databases.

Coordinate Talent Acquisition (TA) office furniture and equipment, name plates, computer user requests, phone extension changes, and office space re-configurations with the HR Department Assistant.

Maintain mail items for the entire HR department.

SKILLS/EDUCATION/KNOWLEDGE/EXPERIENCE/ABILITIES

Required:

High school diploma or equivalent experience.

A minimum of two years of experience in a professional office setting. Previous experience administrative/secretarial experience preferred.

The ability to manage different projects simultaneously while maintaining high attention to detail and meeting deadlines.

Experience working in a team environment while hitting individual deadlines.

Must be able to use own initiative and work independently as needed.

Excellent organizational skills, including exemplary attention to detail and accuracy.

Strong communication skills, both written and verbal.

Results oriented, with a focus on solving problems and continuous improvement.

Proficiency in Microsoft Office applications: Outlook, Excel, Word, PowerPoint.

Desired: 

1+ years of experience in HR/Recruiting/Staffing.

1+ years of experience in onboarding and hiring process.
