Purpose:

The HR Compensation & Benefits Officer is responsible for designing, implementing, and managing the organization’s compensation structures and employee benefits programs. The role ensures internal equity, external competitiveness, regulatory compliance, and alignment with organizational strategy to attract, motivate, and retain talent.

ESSENTIAL DUTIES AND RESPONSIBILITIES OF THIS POSITION

Compensation Management

· Develop, review, and administer salary structures, job grading systems, and pay policies.

· Conduct job evaluations and market salary benchmarking to ensure competitive and equitable pay practices.

· Support annual salary review processes, including merit increases, promotions, and adjustments.

· Prepare compensation reports, analyses, and recommendations for management.

· Ensure consistent application of compensation policies across the organization.

· Assist in the development, maintenance, and governance of job classification structures, levels, and grading frameworks.

· Ensure all compensation and benefits policies, plans, and changes are properly documented, approved, and maintained within HRIS and payroll systems.

· Ensure compliance with internal controls, audit requirements, and governance standards related to compensation.

· Respond to employee and management queries related to pay and benefits, escalating issues when necessary.

· Ensure compensation and benefits records are properly documented and filed to support audits.

· Assist with the timely resolution of Compensation discrepancies and exceptions.

· Prepare and submit HR related compensation and Benefits payments or deductions for the fortnightly payroll, including off-cycle payments, ensuring accuracy and completeness.

Benefits Management

· Administer and coordinate the organization’s employee benefits programs, ensuring efficient delivery and compliance with applicable laws, regulations, and internal policies.

· Manage the end-to-end benefits administration process, including enrollments, changes, terminations, bill reconciliation, and issue resolution.

· Ensure employees receive timely and accurate access to benefits information, including provider communications, enrollment materials, and benefit cards.

· Serve as the primary point of contact for benefits vendors and service providers, managing day-to-day relationships and escalating contractual or service issues as required.

· Monitor benefits utilization, costs, and trends, and prepare recommendations for program improvements and cost-effective enhancements.

· Support renewal processes by coordinating data submissions, reviewing provider proposals, and preparing comparative summaries for HR leadership.

· Develop, maintain, and update benefits communications, employee handbooks, policies, and procedures to ensure clarity and consistency.

· Prepare benefits-related reports, reconciliations, and supporting documentation for audits and internal reviews.

· Respond to employee and management queries on benefits matters, providing accurate guidance and ensuring confidentiality.

· Ensure all benefits data and documentation are accurately maintained in HRIS and payroll systems.

Health, Safety and Accident Administration

· Coordinate and support the administration of the organization’s health, safety, and accident management processes, ensuring alignment with company policies and applicable occupational health and safety legislation.

· Coordinate the administration and reporting of workplace accidents, injuries, and near-miss incidents, ensuring timely and accurate documentation.

· Maintain accurate, complete, and confidential records related to incident reports, accident investigations, injury claims, medical certificates, corrective actions, and correspondence.

· Serve as a key liaison between HR, management, employees, and external providers (including medical practitioners, insurers, and statutory bodies) on health and safety matters, workplace accidents, and injury claims.

· Ensure all required incident reports, workers’ compensation forms, injury-on-duty claims, and supporting documentation are completed and submitted in accordance with company policies and legal requirements.

· Monitor and track the progress and status of accident and injury claims, providing timely updates to HR management and affected employees.

· Support the administration of workers’ compensation, occupational health, and injury-on-duty claims, ensuring accuracy and adherence to required timelines.

· Track and analyze health and safety data, trends, and metrics, and prepare reports and summaries to support management review, audits, and compliance monitoring.

· Assist with the coordination of health and safety training, wellness initiatives, and awareness programs in collaboration with HR and relevant stakeholders.

· Support return-to-work, medical accommodation, and reintegration processes, including coordination with managers and relevant departments regarding medical restrictions and work adjustments.

· Collaborate with Operations, Facilities, Training (where applicable), and line management to support safe and effective return-to-work solutions.

· Ensure health and safety policies, procedures, and related documentation are properly maintained, communicated, and updated within HR and record-keeping systems.

· Provide accurate guidance to employees on health and safety reporting procedures, accident claims, and benefits eligibility, escalating complex issues as required.

· Support audits, inspections, insurance renewals, and management reviews by ensuring health, safety, and accident documentation is audit ready.

· Identify trends and risk areas related to workplace accidents and injuries and provide data-driven insights to support risk reduction and employee wellbeing initiatives.

Leave Management

· Administer and coordinate the organization’s leave programs, ensuring compliance with company policies, labor legislation, and collective agreements where applicable.

· Oversee the accurate recording, monitoring, and reconciliation of employee leave (e.g. annual, sick, maternity/paternity, compassionate, study, and other approved leave types) within HRIS and payroll systems.

· Ensure the timely and accurate processing of leave requests, approvals, adjustments, and balances, working closely with HR, Payroll, and line management.

· Maintain accurate and confidential records of leave applications, medical certificates, approvals, and supporting documentation.

· Provide guidance to employees and managers on leave entitlements, eligibility, and procedures, escalating complex or non-standard cases as required.

· Support the administration of statutory and policy-driven leave, ensuring appropriate documentation and compliance with applicable laws and regulations.

· Monitor leave usage trends and prepare leave-related reports and summaries to support workforce planning, compliance monitoring, and management decision-making.

· Coordinate with Payroll to ensure leave balances and payments (including paid and unpaid leave) are accurately reflected in payroll processing.

· Assist with the review and updating of leave policies, procedures, and employee communications to ensure clarity and consistency.

· Support audits, inspections, and reviews by ensuring leave records and documentation are accurate, complete, and audit ready.

Employee Communication & Support

· Assist with the communication of reward programs, salary reviews, and benefits changes.

· Support HR initiatives related to employee engagement, retention, and total rewards.

· Participate in HR projects and cross-functional initiatives as required.

Any other related duties or projects assigned

EDUCATION AND EXPERIENCE OF THIS POSITION

· Bachelor’s degree in Human Resource Management, Business Administration, Finance, or a related field.

· A minimum of 3+ years’ experience in compensation, benefits, or a related HR role.

· Practical knowledge of job evaluation methodologies and salary benchmarking.

· Experience working with HRIS and payroll systems.
