Job Description:
We are seeking a highly motivated and service-oriented professional to join our team as a Hospitality and Administrative Support Specialist. This multifaceted role is ideal for an individual who thrives in a hospitality-focused environment while also demonstrating strong administrative capabilities. The successful candidate will deliver elevated, concierge-style support for meetings, firm events, and day-to-day hospitality operations, while also providing essential administrative and facilities assistance.
This position plays a key role in ensuring a seamless, professional experience for clients, visitors, and internal stakeholders.
Hours: 8:00am-5:00pm/flexible for events
Key Responsibilities
1. Hospitality Support
Greet and welcome clients and guests in a warm, courteous, and professional manner.
Deliver high-level, concierge-style hospitality services to all site end-users.
Assist with planning, coordinating, and executing meetings and firm-sponsored events.
Liaise with off-site catering vendors and event hosts to ensure seamless service delivery.
Manage room setup and breakdown, including table and chair configurations.
Ensure professional presentation of catered food, beverages, and service ware.
Maintain cleanliness, organization, and proper stocking of hospitality and common areas.
Provide exceptional customer service to clients and visitors at all times.
Compile, track, and report hospitality-related data for monthly client management reports.
Barista Services.
2. Reception Coverage (Back-Up)
Serve as backup support to the primary receptionist as needed.
Professionally answer, screen, and direct incoming phone calls.
Manage the reception area during the primary receptionist’s absence.
3. Copy, Print, and Scan Services (Back-up)
- Support document copying, scanning, and printing requests.
4. Mail Services (Back-up)
Sort and distribute incoming mail and packages.
Prepare and process outgoing mail and shipments.
5. Inventory Management (Assist)
Track and maintain hospitality and office supply inventory.
Ensure supplies are properly stored, organized, and readily accessible.
6. Facilities Support (Assist)
Complete facilities-related service requests as received.
Assist with tasks such as hanging artwork or signage.
Perform light cleaning and upkeep of general areas as needed.
Complete other duties and projects as assigned.
Qualifications
High school diploma or equivalent required.
Previous experience in hospitality, event support, or administrative services preferred.
Excellent interpersonal, communication, and customer service skills.
Ability to maintain professionalism, patience, tact, and diplomacy when handling inquiries or concerns.
Strong organizational, multitasking, and critical-thinking abilities.
Demonstrated initiative and ability to work independently with minimal supervision.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Familiarity with Event Management Systems (e.g., Maptician, EMS) preferred.
Clear verbal communication skills; ability to understand and be understood.
Physical and Scheduling Requirements
Flexibility to adjust working hours as required to support client events, including occasional early mornings, evenings, and weekends.
Manual dexterity required to operate office equipment (phones, copiers, binding machines, etc.).
Ability to lift or move items weighing 40 lbs. or more.
Ability to grasp, lift, and transport packages using a wheeled cart with a load capacity of up to 75 lbs.
Capability to stand, walk, bend, kneel, or sit for extended periods of time.
The Compensation range for this role is 18.50 to 22.00 USD per hour and may be eligible for an annual bonus. Actual compensation within that range will be dependent upon the individual's location, skills, experience and qualifications.
