About the role

The Property Management Portfolio Specialist is responsible for maintaining the most current lease information within the Real Estate systems; including, the interpretation and translation of lease data, tracking important lease dates, and maintaining of financial information.

Essential Job Functions

Sort, organize and distribute all incoming Real Estate mail

Interprets and translates Lease, Sublease and other contract language into Real Estate systems.

Calculates, maintains, and tracks all critical lease dates; including percent rent calculation reminders, expiration and notice dates.

Sets up and maintains recurring monthly payments for each contract with regard to base rent, expense escrows and other charges per the lease documents.

Maintains accurate accounting information by tracking store open dates and updating systems with current finance coding.

Verifies new abstracts for accuracy by checking against Lease documents and verifies other system entry as needed.

Obtains additional property information, including addresses and square footages, from other departments and enters into systems.

Incorporates commencing leases into the Property Management structure by finalizing and activating lease information within systems.

Tracks new owned properties and sets up contract for payment of real estate taxes.

Review, research, prepare, and record Property Management legal documents per county requirements and track for return as needed.

Submit, track, and confirm new team member access requests; including training as needed.

Review and test Real Estate system functionality, especially after system updates.

Responsible for organizing and preparing documentation, including legal documentation, to be scanned into the Document Imaging system.

Skills/Education/Knowledge/

Experience/Abilities

Required:

High School Education or equivalent

Three or more years of clerical, computer, and office experience.

Needs to be computer friendly with accurate typing, filing, phones, Microsoft Word, Microsoft Excel, ten-key, data entry, time management, listening, and organizational skills. Must have integrity and be trustworthy. Must be able to clearly convey information through written and spoken communication, track and prioritize multiple tasks and be flexible. Ability to summarize written documentation, interpret lease information, and proofread for accuracy.

Desired: 

Bachelor's degree or Paralegal training along with knowledge of Real Estate.

Four or more years of clerical, computer and office experience. General knowledge of commercial real estate procedures. Experience with lease interpretation.

Technical/functional skills, problem solving skills, timely decision making skills, multi-tasking and ability to prioritize without supervision. Proficient in Microsoft Word and Microsoft Excel. Experience with Lucernex software. Have excellent organizational and administrative skills.
