What you’ll do:
The Workplace Experience Coordinator plays a key role in shaping a productive, welcoming, and inspiring office environment for around 150 employees (growing to 200) in the Santiago office. This role is responsible for managing all aspects of the workplace experience in Santiago.
- Office Operations:
Oversee the smooth day-to-day running of the Santiago office, ensuring an efficient and supportive environment for employees. Continuously review and refine office workflows, anticipate issues, and implement improvements to enhance the overall experience. - Vendor & Supplier Relations:
Manage relationships with local vendors and service providers to ensure high-quality, cost-effective service across all areas of office management. Handle contract negotiations and monitor ongoing performance. - Workplace Experience & Culture:
Drive initiatives that enhance daily life in the office, promoting employee satisfaction, well-being, and productivity. Ensure that the physical workspace and available amenities foster a sense of comfort, connection, and professionalism. - Stakeholder Collaboration:
Act as a connector between the Santiago office and other locations, ensuring alignment with broader company standards while tailoring solutions to local needs. Gather feedback from employees and serve as a strategic partner to leadership. - Events & Engagement:
Organize internal events, celebrations, and office activities that bring people together and support a strong sense of community. Provide coordination and support for team-driven initiatives and offsite gatherings. - Office Safety & Security:
Maintain systems and protocols for fire safety, emergency procedures, access control, and CCTV. Ensure the Santiago office complies with all relevant local regulations, collaborating with the Risk Preventionist role, and internal company policies. - Office Life: Oversee a range of employee perks such as weekly breakfast offerings, and other thoughtful office touches. Coordinate local events and contribute to a friendly and collaborative office atmosphere. Foster good relationships across teams to help maintain a cohesive and supportive workplace culture.
You’ll be great for this position if:
- Proven experience in office management, workplace coordination, facilities, events management, reception, or similar operational roles.
- Strong organizational and prioritization skills, with the ability to manage multiple parallel tasks without losing attention to detail.
- Experience managing budgets, tracking expenses, and working confidently with spreadsheets (Excel or equivalent).
- Vendor management experience, including coordination, follow-up, and basic negotiation.
- Strong problem-solving skills and ability to act quickly and effectively in unexpected situations.
