Relocation Manager
The Relocation Manager will manage multiple relocation projects across Melbourne, delivering efficient move coordination services for personnel, offices, and facilities. This role requires strong planning capabilities, excellent stakeholder engagement, data management proficiency, and the ability to work at pace within a collaborative team environment based in Melbourne CBD. The successful candidate will be a proactive problem-solver who thrives on meeting deadlines and is willing to work flexibly to meet client requirements.
Key Responsibilities
Move Management and Execution Manage end-to-end relocation activities for office moves, personnel relocations, and facility transitions across multiple concurrent projects. Develop detailed move plans with clear timelines, task lists, and stakeholder responsibilities. Liaise with moving vendors, service providers, and facility teams to ensure seamless execution of relocation activities. Oversee move day activities, ensuring all parties are informed and transitions occur smoothly with minimal business disruption.
Data Management and Analysis Maintain comprehensive relocation databases tracking move schedules, vendor information, costs, and project status across all active relocations. Analyse move data to identify trends, potential issues, and opportunities for process improvement. Generate regular reports and dashboards for internal teams and client stakeholders. Manage large volumes of information including employee details, equipment inventories, space allocations, and budget tracking.
Stakeholder Engagement Serve as the primary point of contact for relocating employees and departments, providing clear communication on move processes, timelines, and requirements. Manage pre-move consultations to understand needs and address concerns, ensuring positive relocation experiences. Build strong working relationships with project teams, facilities management, IT services, and business unit representatives.
Proactive Problem Resolution Anticipate potential challenges and develop contingency plans to mitigate risks. Respond quickly and effectively to issues arising during planning and execution phases. Take ownership of problems and drive them through to resolution, escalating when necessary. Identify opportunities to improve service delivery and client satisfaction.
Project Planning and Tracking Create and maintain detailed project schedules, tracking progress against milestones and identifying potential delays. Manage move logistics including equipment transport, furniture installation, IT connectivity, and space setup. Monitor multiple project timelines simultaneously, ensuring deadlines are met and stakeholders remain informed.
Team Collaboration Work closely within the relocation team to share resources, knowledge, and best practices across projects. Support senior team members with complex relocations and specialised requirements. Contribute to process improvement initiatives and team planning sessions.
Flexible Service Delivery Work flexibly to accommodate client requirements, which may include occasional out-of-hours work for weekend moves, after-hours relocations, or time-sensitive project milestones. Manage time effectively to balance standard business hours with client-driven scheduling needs.
Administrative Excellence Maintain accurate documentation of all move activities, schedules, and vendor arrangements. Track relocation expenses and assist with budget monitoring and reporting. Ensure compliance with safety protocols, building regulations, and organisational policies.
Required Qualifications
Education and Experience Bachelor's degree or equivalent qualification in Business, Workplace Management, Project Management, or related field. Minimum 3-5 years of experience in relocation management, facilities management, project coordination, or related role. Demonstrated experience managing multiple concurrent projects with competing deadlines. Experience working with large datasets and producing analytical reports. Previous experience in corporate or institutional environments advantageous.
Technical Skills Advanced proficiency in Microsoft Office suite, particularly Excel for data analysis, reporting, and budget tracking. Experience with project management tools, tracking systems, and database management. Experience with space management systems such as Serraview, Archibus, or similar platforms highly desirable. Comfortable learning new systems and software platforms quickly. Strong capability in managing, organising, and analysing large volumes of information.
