About the Team
Accounts Payable activity involves the management of a company's outstanding bills and invoices. This includes receiving and recording invoices from vendors, verifying the accuracy of the invoices against purchase orders and contracts, and ensuring timely payment to suppliers. Accounts Payable departments often handle vendor inquiries, resolve discrepancies, and maintain records of all transactions.
Job Summary:
The Specialist role focuses on managing the operations and supporting the supervisor in all operational activities. This includes, but is not limited to, managing daily volumes, processing and controlling critical activities, team training and procedures management, planning and analysis of team performance data and operational statistics, managing vendor inquiries and invoices, building relationships with vendors and key cross-functional stakeholders within Lowe's Pro Supply (LPS), performing AP reconciliation activities, Balance Sheet (B/S) reconciliation adjustments back to the General Ledger and source systems, and clearing monthly accrued Purchase Orders (POs) to ensure accurate financial reporting and compliance.
The successful candidate will be an individual who can identify and support process improvement initiatives, while being able to dive deep into areas of opportunity and develop solutions and processes that drive operational excellence. The Specialist needs to focus on cross-functionality across different sub-processes within LPS, ensuring efficient execution of Accounts Payable, reconciliation, and month-end close activities.
Roles & Responsibilities:
Core Responsibilities:
- Process ownership and delivery of the process KPI's, to ensure consistent performance and adherence to the business KPI's and operational procedures.
- Manage AP reconciliation activities, including adding Balance Sheet (B/S) reconciliation adjustments back to the General Ledger and source systems, ensuring accuracy and completeness of financial records.
- Perform monthly accrued Purchase Order (PO) clearing activities by reviewing, validating, and resolving outstanding accrual balances, ensuring timely closure and compliance with accounting policies.
- Investigate and resolve reconciliation variances between AP sub-ledger, General Ledger, and source systems through root cause analysis and corrective actions.
- Meet the assigned deliverables of processing on multiple type of invoices and ensure to meet the productivity goal of 100% for self and the team.
- Managing the emails in process GMB's and ensuring that we close all pending items on daily basis.
- Serves as subject matter expert and represents on behalf of the team, support Ops Lead in handling disputes/critical issues, and encourage the team to performance better.
- Managing the amendments in DTP’s (Operational procedures) and communicate the important information’s to the team members via huddles, weekly meetings, emails, etc.
- Strong orientation towards analyzing team/process performance and recommend improvements to the existing procedures, trainings, systems etc., as and when required. Planning of workload/workforce management and propose on the cross functionality in the process, to achieve the deliverables during high volumes on backlog situations.
- Working on the quality parameter of the process and providing the assistance to the team on critical/operational issues and establishing good protocol within team, to drive better efficiencies.
- Support in Business process re-engineering, Simplification and Standardization, increase autonomy, Alliance Synergy, Benchmarking, Support supervisor in compliance related data, Learning academy, Domain training, new joiner training etc.
- Maintaining a good communication bridge between various stakeholders and team for efficient workings.
- Follow the escalation matrix and keeping the ops lead/managers informed on all process changes/escalations in advance.
- Maintaining the required governance with stakeholders and business partners and providing the backup to ops lead/managers during operational connects.
- Train the New joiners and existing team members to fill the workforce workload gap.
- Encourage team member to be part of small working groups like fun committee & extracurricular activities.
- Actively participate and Support business initiatives in driving the projects for the Org.
- Participate in department/company level projects and initiatives - Lead and Drive the assigned projects efficiently.
- Automation / RPA ideas/ Process standardization or process autonomy and close minimum 1 process improvement/automations
Years of Experience:
- 5- 7 years Relevant work experience in Finance and accounting, invoice processing, accounts payables or P2P roles for total of 5 +year experience in lieu of education.
- Experience in reporting and working on large data sets and procedure enhancements.
- Experience in vendor statement reconciliation, AP sub-ledger to General Ledger reconciliation, balance sheet account reconciliation, month-end close support
Education Qualification & Certifications
Required Minimum Qualifications:
- Bachelor’s Degree BBA, B. Com or Related Field (Accounting & Finance)
Skill Set Required
Primary Skills (must have)
- Experience in managing the business partners and assisting the supervisor in taking decision in smooth operations.
- Experience working with Excel and other data/reporting tools.
- Excellent writing and communication skills, including the ability to develop process documents for presentation to management.
- Strong understanding of Accounts Payable accounting, General Ledger concepts, accruals, and reconciliation processes.
- Experience in vendor statement reconciliation, AP sub-ledger to GL reconciliation, and month-end close activities.
- Ability to analyze accounting discrepancies, perform root cause analysis, and drive issue resolution.
- Knowledge of internal controls, audit requirements, and accounting compliance standards.
Secondary Skills (desired)
- Experience in automations/RCA
- Experience in assisting the ops lead and working on accounting data analysis can be an added asset.
