Job Summary
Performs and coordinates administrative tasks to support management and teams with efficient office operations. Manages communication and schedules to facilitate organizational workflow.
Key Areas of Responsibility
• This role is responsible to support a team and/or senior leader with all administrative, organizational and operational matters in a timely manner.
• Support and organize own projects and events
• Invertory Management (including storing and maintenance)
• Assist with On and Off boarding
• Provide booking and expense reporting support
• Process purchase orders
• Takes initiative and identifies problems in actual way of working, formulates alternatives and recommendations; develops and introduces new supporting sub-processes and improves existing processes
• Communication management (distribution lists, announcements, Microsoft Teams)
• Maintains confidential files and records with discretion.
• Facilitates communication between teams to enhance collaboration.
• Organizes and maintains office files and records to ensure easy access and retrieval.
• Prepares and edits correspondence, reports, and presentations to support management.
• Handles incoming goods and inquiries to provide timely information and assistance.
• Coordinates arrangements and itineraries for staff and management.
• Assists in managing budgets / PO's and expense reports to maintain financial control.
• Back up for Facility manager and maintenance guiding
Critical Experiences
• Secondary vocational education (MBO) Administration, Management, Facility or a related field to ensure foundational knowledge in organizational and administrative functions.
• Minimum of 3 years experience administrative roles involving purchasing, coordination, and confidential communication handling.
• No specific licenses required; however, proficiency certifications in Microsoft Office, purchasing and projects are essential.
• Language Dutch and English.
