Position Summary:
The Administrative Associate plays a critical role in supporting team members and ensuring high-quality client experience. This position is responsible for administrative, operational, and client service functions.
This role offers strong growth potential, toward a long-term career within our firm. This Administrative Associate can advance to a Client Service Associate role with expanded responsibilities such as serving as the primary service contact for clients and supporting advisors in deeper client relationship management.
Cerity Partners also offers opportunities to pursue professional development, obtain relevant certifications such as the Series 65, and be considered for advancement into other positions aligned with performance, interests, and business needs.
Primary Responsibilities
Serve as a friendly, professional first point of contact for clients via phone, email and in person
Schedule client meetings, reviews, and follow-ups for advisors
Prepare client meeting materials, agendas, and post-meeting action items
Manage new client onboarding data entry in CRM and client onboarding communications
Maintain accurate client records in CRM, portfolio management and document systems
Coordinate office events, team meetings, client lunches, and other office-related events, maintaining appropriate calendars
Handle incoming and outgoing mail (FedEx, UPS, USPS, messengers) and perform tasks such as scanning, faxing, and copying
Assist team members by resolving administrative issues
Send out stationery such as thank you notes, birthday cards, and anniversary gifts to clients
Assist in Cashiering – depositing and logging checks
Support practice initiatives, process improvements, and special projects
Serve as backup support when team’s Client Service Associate is out
Perform additional related tasks as assigned to support the team
Required Qualifications:
High School diploma or equivalent.
1-3 years of administrative experience, preferably in a reception or clerical role
Preferred Qualifications:
Experience in a reception or clerical role within an RIA, financial planning firm or financial services environment
Familiarity with CRM and custodial platforms
Interest in long-term growth within wealth management
Skills and Competencies:
Strong organizational skills and attention to detail
Excellent written and verbal communication skills
Expert proficiency with Microsoft Office suite of products, Zoom, Teams and standard office equipment.
Commitment to confidentiality and maintaining discretion
Ability to collaborate effectively in a team-based environment
High degree of professionalism in working with diverse groups of people, including senior executives, colleagues, community leaders and clients
Ability to manage multiple priorities in a fast-paced, dynamic environment
Strong follow-through and time management skills
Adherence to compliance policies and procedures
Ability to exercise independent judgment in planning and prioritizing work
Physical Requirements:
Prolonged periods sitting at a desk and working on a computer.
Must be able to lift up to 15 pounds at times.
Compensation Range:
$22.00 - $30.00 Per hour
