POSITION SUMMARY

The Executive Assistant will provide high-quality executive administrative and operational support to the China Commercial Vice President. This role is primarily focused on proactive calendar management, prioritization, professional communication, meeting coordination, travel and expense support, and smooth day-to-day execution.

The successful candidate will be a highly organized, forward-looking, and trusted partner who can help the Commercial VP allocate time effectively against key business priorities, prepare for important meetings, manage requests with sound judgment, and maintain structure and cadence in a fast-paced, complex, and confidential environment. This role requires strong ownership, discretion, attention to detail, and polished communication in both English and Chinese.

Key Responsibilities

Executive Calendar & Priority Management

  • Proactively manage the Commercial VP's calendar, including leadership meetings, business reviews, internal and external engagements, customer meetings, and travel schedules.
  • Screen, prioritize, and coordinate meeting requests based on business urgency, strategic importance, preparation needs, and executive availability.
  • Resolve calendar conflicts, protect focus time, and ensure time is allocated effectively against the most important business priorities.
  • Think ahead on key meetings by confirming objectives, participants, pre-read materials, briefing needs, logistics, and follow-up expectations.

Daily Operation & Administrative Support

  • Coordinate domestic and international travel arrangements, including flights, hotels, transportation, visa support, itineraries, and related logistics.
  • Manage expense claims, purchase requests, vendor coordination, and other administrative processes in a timely, accurate, and compliant manner.
  • Maintain effective filing, records, contact lists, meeting materials, and administrative documentation to support smooth day-to-day operations.

Meeting Coordination & Execution Discipline

  • Coordinate leadership meetings, business reviews, town halls, customer meetings, and external stakeholder meetings, ensuring logistics and materials are well prepared.
  • Prepare agendas, collect and organize pre-read materials, capture key decisions and action items when needed, and follow up to keep routine activities on track.
  • Help maintain meeting cadence, timelines, and operational discipline so that key commitments are executed smoothly and on time.

Communication & Stakeholder Coordination

  • Act as a professional liaison between the Commercial VP and China leadership, global leaders, internal teams, external partners, customers, and other stakeholders.
  • Support clear, timely, and polished communication in both English and Chinese, including emails, meeting notices, announcements, and routine correspondence.
  • Handle incoming requests, emails, and calls with good judgment, appropriate prioritization, and discretion; respond on behalf of the executive when appropriate.

Confidentiality, Compliance & Professional Standards

  • Handle sensitive business, organizational, personnel, and commercial information with the highest level of discretion and confidentiality.
  • Ensure administrative activities follow company policies, approval processes, travel and expense guidelines, and business conduct standards.
  • Represent the executive office with professionalism, maturity, reliability, and a strong service mindset.

Qualifications

Experience

  • Bachelor’s degree in Business Administration, English, Management, or a related discipline preferred.
  • Minimum 5–8 years of experience as an Executive Assistant or similar role, preferably supporting senior executives in multinational companies.
  • Proven experience managing complex executive calendars, senior-level meetings, travel arrangements, expense processes, and confidential matters.
  • Experience supporting commercial, sales, general management, or country leadership roles is preferred.

  • Outstanding calendar management, prioritization, planning, and time management skills, with the ability to anticipate needs and manage multiple priorities.
  • Strong ownership, follow-through, attention to detail, and ability to keep things structured, on track, and on time.
  • Excellent written and verbal communication skills in both English and Chinese, with a polished and professional style.
  • High level of discretion, maturity, confidentiality, and sound judgment in executive-level interactions.
  • Proficient in Microsoft Office, especially Outlook, PowerPoint, Excel, Word, and Teams.
  • Flexible, reliable, resourceful, and comfortable working in a fast-paced, cross-functional environment.
