We are looking for someone reliable, interactive, and flexible to join our team as a Facilities Coordinator. Reporting to the Facilities Manager, you will be responsible for shipping and receiving duties as well as routine maintenance and janitorial upkeep of our Wilton office buildings.

Please Note: This position is 100% on-site, Monday – Friday, 8:30am-5:30pm

How You'll Make an Impact:

Shipping and Receiving

  • Coordinate receiving, shipping, handling, tracking, and storage of incoming and outgoing deliveries via FedEx, UPS, DHL, Amazon, USPS, etc.
  • Maintain stock of shipping supplies for each carrier
  • Create and distribute shipping carrier call tags
  • Manage claims for lost or damaged items; gather required documentation and photos
  • Ensure timely shipment of all packages and communicate delays via email or Teams
  • Keep the Loading Dock area clean
  • Package and ship equipment to remote staff as needed

Building Maintenance/Facilities

  • Perform basic janitorial tasks in the Wilton office and warehouse as required
  • Assist with setup and cleanup for on‑site company events
  • Perform facilities, shipping, and maintenance tasks
  • Prepare workstations for new hires and properly clean out offices during off boarding
  • Inspect buildings for issues (e.g., roof leaks, ceiling tiles) and take initiative or report as needed
  • Maintain towel supplies in locker rooms
  • Create labels for bike slots and locker assignments
  • Provide backup to the Facilities Manager as required

What You Bring to the Table:

  • 1–2 years of experience in facilities, maintenance, or shipping, or an equivalent combination of education and experience
  • Ability to multitask and remain detail‑oriented in a high‑volume shipping environment
  • Experience in domestic and international shipping, including invoices and basic customs knowledge
  • Excellent verbal and written communication skills
  • Valid driver’s license and clean driving record, as driving may be required
  • Proficiency in Microsoft Word, Excel, and Outlook
  • Availability to work occasional overtime, weekends, or holidays based on business needs
  • Ability to respond to alarm calls during the Facilities Manager’s absence
  • Knowledge of High Value Summary (HVS), batch shipment, or lithium battery shipping preferred

Physical requirements:

  • Regular walking between the main office and warehouse 4–5 times daily
  • Lift and move up to 70 lbs regularly; up to 100 lbs occasionally
  • Reach, kneel, bend, and balance on stairs or ladders
  • Push or pull dolly carts up to 100 lbs and pallet jacks up to 200–300 lbs
  • PPE may be required for certain tasks
