- Support senior executive travel arrangements, meeting co-ordination, event organization, and administrative work, and provide on-the-ground support.
- Provide comprehensive secretarial and administrative support to Senior Management.
- Coordinate international travel, manage calendars, and arrange meetings for senior executives.
- Manage and prioritise competing requests, exercising sound judgement in coordinating the executive’s time and acting as a gatekeeper when required.
- Communicate on behalf of executives to internal and external stakeholders, including senior management, to coordinate meetings, follow ups and administrative activities.
- Team Support – Provide support to teams across time zones including coordinating. meetings, prepare meeting agendas, manage communications and assist with project management tasks (such as procurement, tracking deadlines and updating progress reports).
- Coordinator Duties – work closely with external suppliers (e.g. travel agents, hotel representatives, etc.) and staff of senior management in other multilateral, governmental, regulatory and business institutions with whom we have dealings to ensure an effective and efficient image of the team and Prudential is projected.
- Handle confidential and sensitive information (including business and risk related matters) with the utmost discretion and professionalism.
Requirements:
- A degree in Secretarial or Business Administration or equivalent.
- At least 10+ years secretarial or administrative support experience; at least 5 years in a multinational environment or setting.
- Proactive and able to anticipate needs and follow through on tasks with minimal supervision.
- Must have competent office administrative skills and high proficiency with windows applications such as MS Word, Excel, PowerPoint and can format reports of moderately complex nature using these software.
- Strong time management skills and ability to organise and coordinate multiple concurrent projects with minimal supervision.
- Excellent English language (both spoken and written) and strong communication skills.
- Experience of dealing with senior stakeholders and ability to maintain confidentiality of information related to the company and its employees.
