About the role...

As a Procurement Specialist, you will implement and support the Procurement process for all Direct and Indirect categories. In collaboration with the Accounting, Finance, Legal, and Functional teams you will be part of the team to rollout and automate the Procure- to -Pay process for o9.


Key Responsibilities:

🛠 End-to-End Procurement Management

  • Execute full-cycle procurement activities including sourcing, negotiation, ordering, vendor onboarding, and performance evaluation.
     

  • Coordinate procurement requests across departments (HR, IT, Facilities, R&D, Engineering, Marketing, etc.) and across multiple geographies (India and international offices).
     

  • Ensure compliance with internal procurement policies and category-specific standards.
     

📑 Contract Review and Commercial Optimisation

  • Review supplier and service contracts with a commercial lens to validate pricing, SLAs, penalties, renewal terms, and exit clauses.
     

  • Collaborate with legal and finance teams to propose and negotiate commercially viable contract revisions.
     

  • Ensure alignment of contractual terms with budget approvals, risk controls, and business objectives.
     

🤝 Supplier Management

  • Identify, assess, and qualify new vendors locally and globally based on service capability, pricing, compliance, and sustainability.
     

  • Maintain strong vendor relationships and act as a primary point of contact for procurement-related escalations or performance issues.
     

  • Facilitate vendor performance reviews, renewals, and offboarding as needed.
     

📊 Spend Analysis & Reporting

  • Track procurement spend across categories and geographies to identify cost-saving opportunities and purchasing trends.
     

  • Generate reports and dashboards for internal stakeholders using ERP systems and procurement tools.
     

  • Support annual budgeting, forecast alignment, and strategic sourcing decisions with data-driven insights.
     

📦 Operational Coordination

  • Oversee logistics for goods/services procurement, including delivery timelines, documentation, and customs coordination (if applicable).
     

  • Ensure all purchases are pre-approved, budgeted, and documented as per compliance requirements.
     

  • Coordinate with Finance on invoice reconciliation, payment release, and audit readiness.
     

🌱 Compliance and Sustainability

  • Enforce procurement governance, including due diligence, data privacy, anti-bribery, and sustainability requirements.
     

  • Contribute to initiatives aimed at achieving corporate sustainability goals, such as local sourcing, ESG compliance, and carbon footprint reduction.
     

Required Qualifications:

  • Bachelor’s degree in Business, Supply Chain, Finance, or related field. Strategic Sourcing experience in a S/W SAAS environment.
     

  • 1-4 years of procurement experience handling both India and international operations.
     

  • Strong experience in contract review, commercial negotiations, and vendor management.
     

  • Familiarity with ERP systems (e.g.Oracle, Zoho, Vendr, Tipalti) and procurement platforms.
     

  • Excellent communication, analytical, and stakeholder management skills.

  • Proficiency in Microsoft Office, with the capability to use Excel to analyse large data sets. Strong data analytics and reporting experience.
     

  • Working knowledge of Indian procurement norms, import/export rules, and basic international sourcing practices.
