Role purpose

  • Provide end-to-end site facilities leadership on multiple sites
  • Ensure services and operations meet agreed standards, budget, regulatory obligations and client  expectations.
  • Create positive, inclusive workplace experience while managing operational risk.

Key responsibilities

1) Leadership & people management

  • Line manage team members, set clear objectives and coach performance.
  • Build a high-performing team culture focused on service, safety and on time delivery
  • Allocate resources, manage coverage, and ensure resilience for absences and peak demand.

2) Facilities service delivery (operations)

  • Own day-to-day facilities performance: maintenance, cleaning, security interface, mailroom, catering/pantry, waste, reception/front-of-house (as applicable).
  • Ensure planned preventive maintenance is delivered and that reactive issues are prioritized and resolved quickly.
  • Oversee minor works, small refurbishments and moves/changes; coordinate with building management where relevant.
  • Manage site standards through inspections and structured defect/action tracking.

3) Vendor & contract management

  • Manage supplier relationships and performance against SLAs/KPIs; run service reviews and drive corrective actions.
  • Validate service delivery, approve invoices in line with controls, and support tendering/renewals where required.
  • Ensure contractor management is robust (inductions, permits to work, review, supervision and sign-off).

4) Health, safety, security & compliance governance

  • Accountable for local delivery of H&S controls (risk assessments, incident management, statutory checks, audit readiness).
  • Ensure fire life safety routines are executed (drills, checks, emergency arrangements) and actions close on time.
  • Partner with security stakeholders to ensure safe access/visitor processes and appropriate incident escalation.
  • Maintain strong government records and ensure compliance with internal policies and local regulations.

5) Budget, cost control & reporting

  • Manage site OPEX within budget; forecast spend, track variances and drive value-for-money.
  • Produce operational reporting (SLA attainment, ticket trends, audit actions, risk items, key outages).
  • Identify efficiencies (demand reduction, asset reliability improvements, smarter scheduling).

6) Stakeholder management & communication

  • Act as the primary facilities point of contact for leadership, local business teams and support functions.
  • Communicate planned works, disruptions and service updates clearly; manage expectations and resolve escalations.
  • Build effective relationships with property managers and external authorities as needed.

7) Continuous improvement & sustainability

  • Drive root-cause analysis for recurring issues and implement preventive fixes.
  • Support sustainability goals: energy/water reduction, waste diversion, responsible sourcing and colleague awareness.
  • Contribute to workplace experience improvements

Typical deliverables / KPIs

  • SLA and customer satisfaction results (including reduction in repeat incidents)
  • Safety and compliance outcomes (audit results, timely closure of actions, contractor compliance)
  • Budget adherence and measurable cost optimization
  • Planned maintenance completion rates and asset uptime
  • Quality and timeliness of governance documentation and risk escalation

Skills and experience (typical)

  • Strong facilities operations background across multi-service environments with 5 – 10 years’ experience at management level
  • Proven vendor/contract performance management and escalation handling
  • Working knowledge of H&S management and contractor controls
  • Financial discipline (budgeting, forecasting, invoice control)
  • Clear, confident communication; able to influence stakeholders and manage difficult priorities
  • Comfortable with helpdesk systems, reporting and data-driven decision-making
