A Day in the Life:
-Assist the Project Manager with documentation and administration of projects.
-Provide accurate and timely flow of documents for audits and other purposes.
-Responsible for managing the customer experience with various project issues.
-Provide pivotal communication between clients, job site, head office, suppliers, and contractors.
-Prepare all correspondence that is related to the job (Performance Bond, Certificate of Insurance, WSIB Notification, Material List, -etc.)
-Provide support and assistance to the estimators, project managers and other branches.
-Read contracts, letters of intent and purchase orders for billing requirements (“Billing Date”,” Holdback Percentage” etc.)
-Submit work on hand and schedule of values for the month to the project managers and site superintendents.
-Prepare all necessary Closeout Documentation (Statutory Declaration, Warranties & Other).
-Prepare all necessary Opening Documentation (WSIB, Insurance and Form 1000).
-Produce invoices for internal and for 3rd party companies, for multiple branches.
-Ensure procedures are followed for invoicing (USD/CAD).
-Prepare and submit monthly sales report to Management.
-All other duties and special projects as required.
 
What You Bring:
-Completed Post-Secondary Degree/Diploma in Administration or Accounting
-Previous administrative construction experience or an equivalent combination of technical training and experience
-Previous experience processing project billings (progress billings, holdbacks, schedules of values) within the construction industry is an asset.
-Previous experience with an ERP or other accounting software is an asset.
-Intermediate to advanced knowledge of MS Office (Excel).
-Excellent communication and interpersonal skills,
-Self-motivated and detail orientated.
-As this position supports more than one Project Manager, the ability to manage multiple tasks and meet deadlines is required.
